We're looking for a highly organised, discreet and proactive Personal Assistant to support a Sydney-based principal.
This is a genuine right-hand role. You'll run a busy diary across multiple time zones, own all travel end to end, keep personal, family and household logistics ticking over, and handle a steady stream of ad hoc requests. No two days look the same, and you'll be trusted to get things done without needing to be told twice.
Bilingual Mandarin–English capability is essential – a good portion of the principal's work involves Chinese-Australian clients and cross-border relationships.
What you'll be doing
Travel
- Plan and book international and domestic travel – flights, transfers, accommodation and ground logistics
- Prepare clear day-by-day itineraries with backup options
- Manage visas, entry documents and frequent flyer / loyalty program admin
- Liaise with travel agents, hotels and service providers, and resolve issues quickly when they arise
- Remain on call during trips to handle delays, changes and last-minute rescheduling
Diary
- Run the principal's diary across multiple time zones
- Schedule appointments, meetings and personal commitments
- Flag conflicts and keep the principal across what's coming up
- Confirm meetings and chase follow-ups
Personal & lifestyle
- Book medical, wellness and other regular appointments
- Handle errands, restaurant bookings, gifts and special occasions
- Look after household and property logistics
- Coordinate with household staff and other support people
- Provide driving support for the principal and/or family members when required
Family support
- Accompany children to extracurricular activities,
appointments and events when required
- Coordinate children's schedules, activities and holiday programs
- Liaise with schools, tutors, coaches and other service providers
- Assist with school communications, enrolments and administrative matters
- Coordinate family travel arrangements, including children's documentation and logistics
Admin
- Track expenses and reconcile receipts
- Handle light correspondence and documents, including Mandarin–English translation
- Keep the contacts list and supplier relationships in order
- Take on ad hoc requests as they come up
About you
- 3 years' experience as an EA, PA or private/family office assistant supporting a senior executive, founder or principal
- Fluent in English and Mandarin (written and spoken); Cantonese highly regarded
- Exceptionally organised, with strong judgement and the ability to prioritise under pressure
- Discreet and trustworthy – you'll be handling personal and commercially sensitive information
- Warm and reliable around children, with experience supporting a family highly regarded
- Confident dealing with agents, hotels, suppliers, schools and household staff
- Comfortable being contactable outside standard hours during travel periods
- Full, unrestricted Australian driver's licence
- Australian working rights
- Current NSW Working With Children Check and National Police Check (or willingness to obtain prior to commencement)
