THE ROLE
Rockhampton Girls Grammar School is seeking a friendly and organised Receptionist to join our team in a casual role, commencing immediately. This position offers a strong possibility of transitioning into an ongoing role.
Position Details:
- Wednesday, Thursdays and Fridays preferred
- 8:00 am – 4:06 pm
This is a job-share position, and while the majority of days are set, we value flexibility. Occasionally, you may be asked to adjust your days or provide coverage during school holiday periods. We’d love to understand your availability and willingness to assist when needed.

POSITION OBJECTIVE The Receptionist is the first point of contact for students, parents, visitors, and staff, representing Rockhampton Girls Grammar School with professionalism, warmth, and care. The role provides high-quality front-of-house service,
administrative support, and effective coordination of communications to ensure the smooth daily operation of the School’s administration.
As an integral member of the Administration team, the Receptionist contributes to an environment that is welcoming, respectful, and service-oriented. The position requires professionalism, adaptability, and confidentiality, with the ability to interact confidently and compassionately with students, families, and staff in a dynamic school environment.
KEY RESPONSIBILITIES
Front of House and Customer Service
- Answer incoming telephone calls in a pleasant, informed, and professional manner to ensure callers feel welcomed and valued.
- Greet and assist visitors, contractors, students, and parents, ensuring a friendly and helpful experience at all times.
- Respond promptly to student and parent needs or refer to the appropriate staff member.
- Manage the visitor sign-in/out process and maintain accurate records in line with school policy.
- Forward enquiries, requests for information, and messages to relevant staff in a timely manner.
- Maintain the reception area in a professional, organised, and welcoming manner.
- Uphold confidentiality and discretion in all communications.
Administrative Support and Coordination
- Perform clerical and administrative tasks including data entry, word processing, photocopying, document preparation, and filing.
- Manage school mail and email – receive, sort, and distribute incoming and outgoing correspondence.
- Receipt and record payments made at Reception in accordance with school finance procedures.
- Assist with student absence records and SMS notifications in The Alpha School System (TASS).
- Perform data entry, retrieval, and reporting tasks using TASS as required.
- Support teaching and administrative staff with administrative and organisational matters as needed.
- Assist the Transport Coordinator and/or Facilities and Services Manager with the collation, management, and communication of before and after school bus runs.
- Collaborate in the preparation and distribution of student mail outs.
- Locate students during the school day as required using TASS.
- Provide backup support to other Administration team members as required.
- Maintain and re-order stationery stock
- Manage Record Retention, Storage and Disposal
- Administer the loan and return of school keys
- Create and publish school newsletters
- Assist Human Resources with tasks associated with staff onboarding and offboarding
Communication and Enrolment Support
- Refer all enrolment-related queries to the Enrolments Officer promptly.
- Support communication between parents, students, and staff in a professional, courteous manner.
- Assist with coordination of appointments, meetings, and bookings as directed.
- Contribute to internal communications such as bulletins, notices, and updates as requested.
Health, Safety, and Compliance
- Follow all School policies and procedures, including those relating to Child Protection, Workplace Health and Safety, Privacy, and Confidentiality.
- Maintain awareness of emergency and evacuation procedures and assist with coordination during drills or incidents.
- Report any safety, maintenance, or security concerns promptly to the Facilities and Services Manager
OTHER DUTIES
- Promote the interests of Rockhampton Girls Grammar School.
- Attend Professional Development and staff meetings as required.
- Serve the School diligently and faithfully.
- Any other duties as may reasonably be directed by the Marketing and Events Manager, Business Manager and/or Principal.
ESSENTIAL COMPETENCIES
- Excellent interpersonal and problem-solving skills, with the ability to liaise effectively with staff, students, parents, and visitors.
- Strong communication skills and the ability to explain concepts clearly and effectively.
- High level of professionalism, patience, and a positive attitude in all interactions.
- Excellent computer literacy, including advanced skills in Microsoft Office (Word, Excel, Outlook).
- Experience using school administration systems such as TASS (or the ability to learn quickly).
- Solid organisational and time management skills with the ability to manage competing priorities.
- Ability to work autonomously and collaboratively as part of a team.
- High attention to detail and accuracy in data entry and record keeping.
- Discretion, judgement, and respect for confidentiality.
MANDATORY REQUIREMENTS The successful application is required to:
- Possess a current Blue Card from the Commission for Children and Young People and Child Guardian or have the ability to obtain one.
