Mechanical Project Services is seeking an experienced and organised Branch Service Administrator to join our Karratha team.
This is a permanent full time position working 38 hours per week, Monday to Friday, with a salary of $100,000 per annum.
This is a busy and varied role supporting the day-to-day running of our Karratha service operations. You will work closely with the Branch Manager, service team and technicians to keep jobs, customer requirements and general branch administration running smoothly.
Your responsibilities will include:
Raising, reviewing, closing and invoicing service jobs
Preparing quotations, purchase orders and general correspondence
Ordering parts and coordinating freight and couriers
Organising flights and accommodation
Maintaining FIFO rosters and assisting with mobilisation requirements
Reviewing completed jobs and following up missing information
Resolving invoicing, purchase order and job-related queries
Maintaining customer and site information
Managing customer work order portals and online systems
Assisting with the allocation and coordination of service calls
Coordinating staff and subcontractor inductions and onboarding
Maintaining licence, training and site-specific registers
Assisting with customer reports, tender submissions and capability documents
Maintaining service vehicle records
Assisting with incident and accident reporting
About you To be successful in this role, you will have:
Previous experience in administration, preferably within a service, trade or construction setting
Strong organisational and time-management skills
The ability to manage multiple priorities in a busy office
Good attention to detail and accurate data-entry skills
Confident communication skills
A practical and proactive approach to problem-solving
The ability to work independently while supporting the wider team
Good Microsoft Office skills
Experience using Sybiz, AroFlo or similar job-management and accounting systems would be advantageous but is not essential. This role would suit someone who enjoys taking ownership of their work, following matters through and being an important part of a busy local team.
