Community Gateway is seeking an experienced Senior Receptionist / Practice Manager to join our Lismore Sexual Health Hub and coordinate the smooth day-to-day administrative operations of the practice.
This is a hands-on opportunity for an experienced medical receptionist or health administrator who is ready to take the next step into practice coordination while remaining actively involved in reception and client service.
Working closely with clinicians and management, you will help ensure the Hub operates efficiently while providing a professional, respectful, discreet and client-centred experience for people accessing sexual health services.

About the Role
Based at the Lismore Sexual Health Hub, you will coordinate the day-to-day administrative operations of the practice while continuing to provide high-quality reception and client services.
You will work closely with clinicians and management to coordinate appointments and practice workflows, support billing and health administration processes, maintain accurate and confidential records,
and help ensure the Hub operates efficiently and consistently.
Given the sensitive nature of sexual health services, this position requires a high level of professionalism, discretion and judgement, together with a strong commitment to privacy, confidentiality and inclusive, non-judgemental client service.
What You'll Be Doing
- Provide welcoming, respectful, inclusive and confidential reception services.
- Manage telephone, email and face-to-face enquiries professionally and sensitively.
- Coordinate appointments, cancellations, waiting lists and clinician schedules.
- Monitor clinician diaries, appointment availability and day-to-day practice workflows.
- Identify and resolve routine operational issues and escape significant matters appropriately.
- Support Medicare, PRODA, billing, receipting and other health administration processes.
- Maintain accurate client records, administrative documentation and business records.
- Coordinate office supplies, equipment and administrative resources.
- Liaise with contractors, suppliers and external service providers as required.
- Support privacy, compliance, accreditation, audit and quality-improvement activities.
- Identify opportunities to improve administrative processes, client access and the overall client experience.
- Work collaboratively with clinicians, management and the broader Community Gateway team.
About You
You will be an experienced medical receptionist or health administrator who is organised, approachable and confident coordinating the administrative requirements of a busy practice.
You will bring:
- Demonstrated experience in medical reception, health administration,
community services administration or a comparable client-facing environment.
- Experience in a senior reception, office coordination or practice coordination role.
- Strong organisational and time-management skills, with the ability to manage competing priorities.
- Excellent interpersonal, verbal and written communication skills.
- A high level of professionalism, discretion and sound judgement.
- A strong understanding of privacy, confidentiality and appropriate information management.
- Experience using appointment booking, client management, medical or practice-management systems.
- The ability to work independently, use initiative and solve day-to-day operational problems.
- A respectful, inclusive and non-judgemental approach to client service.
- Experience within sexual health, primary healthcare, allied health or community health will be highly regarded, as will experience with Best Practice,Medicare, PRODA, medical billing and practice-management software.
