We are currently seeking aFirst PeoplesProgramCommunity Events Coordinatorto join our team.

Job Description

The Role

The First Peoples Community Events Coordinator position reports into the First Peoples Program Project Coordinator with a dotted line to the Executive Lead for First Peoples Programs. Part of this rolewill coordinatingoperational and logistical delivery of the First Peoples’ Community gatherings, working closely with internal stakeholders, community partners,contractorsand suppliers to support culturally safe, wellorganisedand impactful events.

Key Responsibilities

Coordinate eventlogisticsincluding venues, travel, accommodation, catering, accessibilityrequirementsand participant communications.

Support procurement and coordinate contractors,suppliersand service agreements.

Coordinateand supportOxfamvolunteersandeventsstaffto support thedelivery ofFirst Nations events, includingbriefings,andcapturingdocumentation ofallevents.

Support eventscommunications, invitations,registrationsand logistical correspondence, and on the day scheduling.

Maintain event planning, resource allocation, riskdocumentationand onlineprojectmanagement tools.

Provide on-site coordination and support during delivery of the First Peoples’ Communityevents.

Desired Skills and Experience

An understanding ofFirst Nations communities and experience fosteringcollaborative relationships.

Flexibilityin working tosupportcolleaguesand other areas of the organisation in delivery ofagreed outcomes.





Commitment of Oxfam’s purpose, culture,valuesand ways of working.

High levelof computer literacy, particularly Microsoft Office.

Proven participation in cultural awareness training.

Experience using project management tools and coordinating or managing event volunteers.

Demonstrated experience working collaboratively with external suppliers to deliver project milestones.

Strongqualifications in Events Management, Project Management or equivalent relevant working experiencesupportingeventlogistics, preferably large-scale or mass participation events.

Provenexpertisein leading events logistic tasks such booking venues, event staff accommodation, flights, eventvehiclesand catering.

Proven experience supporting procurement processes for operational goods and services, including overseeing the coordination and monitoring of service agreements with external suppliers and contractors.

Keen interest and understanding ofbestapproach for community activation event plans asdeterminedby FirstPeoples’Programsand community partners.

Exposure working withexternal agencies contributing to efficient management of team administration, including updating cross functional systems and processes, meeting minutes and invoice management.
