We are looking for an Office Coordinator to support Arkadia Property and provide office management support for the broader Group.

Arkadia Property has a clear investment mandate to acquire and manage high-quality commercial property assets, with a focus on retail, in Metropolitan areas on the eastern seaboard of Australia that have significant potential for underlying growth in land value and/or a distinct continuing advantage or driver of value.

This role is a support to the overall business, providing administrative, guest relations, and general office support to ensure the office runs smoothly.

The ideal candidate will be detail orientated, authentic, curious, takes the initiative and is an excellent communicator. Ideally the candidate will have a background in office support and management or demonstrated skill sets that will suit the role.

Key Responsibilities

Office Coordination

- Is the key contact for all office,



facilities and building management issues and enquiries from staff and external parties. Escalates any more complex issues or potential risks to the Property Manager or the building.
- Ensure all office Work, Health and Safety, fire safety and security requirements are met. Be the key contact for Arkadia for all facilities and office stakeholder enquiries, ongoing maintenance and work performed by our external contractors.
- Confidently operate the Audio Visual and video conferencing equipment including setup for presentations and troubleshooting.
- Induct and train all recent starters on our office management procedures and facilities. Ensure internal procedures and checklists are completed including procurement and set up of required hardware and software.
- Be responsible and accountable for ensuring all Office Management activities and Operations are delivered to the highest standards of service and presentation within all areas of our office including reception, meeting rooms, workspaces, kitchen and other facilities within our occupancy. Responsible for managing the usage and cleaning of kitchen appliances within our office including dishwashers, microwaves, fridges, coffee machine etc.
- Management of office archives.
- Account contact and Management of key subscriptions and business services Uber, Optus, Telstra, News Papers, Rp Data, Near Map, IT Global, Opal, Cab charge,



Nespresso.
- Check the office post box and arrange couriers when required.
- Ordering and monitoring of stationery, and office consumables.
- Organisation of team social events and days of significance.
- Managing petty cash for executive lunches and small items.
- Manage office cleaners and manage any required induction and waivers for trades people doing work within the office.

Reception

- Greeting and directing of visitors, setting up the meeting rooms and when required ordering food and beverages for meetings.
- Post meeting ensure the meeting rooms are clean and tidy.
- First office contact phones & reception, filtering and forwarding all office phone calls coming through the main directory.

Skills and Experience

- Experience in a hands-on Office Administrator, Team Assistant, coordination or customer service position.
- Demonstrated experience providing support across a range of responsibilities, tasks, events, project support and provided assistance to multiple staff members.
- Strong administration and PC skills including Microsoft Office, AV equipment, online collaboration tools and other corporate systems and technologies.
- Prior experience in liaising with and managing multiple internal and external stakeholders ensuring the highest levels of service, professionalism and a forward-thinking approach is maintained in all customer interactions.
- Displays the highest levels of corporate presentation and service across a diverse range of customers and within a phone based, email correspondence and face to face setting.
- Full right to work in Australia, proof of Residency/Citizenship.
