Position Summary The Academic Administration Officer is responsible for coordinating and administering academic operations to support student progression, assessment management, examination processes, enrolment administration, compliance requirements, and academic governance activities. The role works closely with the Dean, Heads of School, academic staff, professional staff, students, and committees to ensure the productive delivery of academic and administrative services and compliance with Higher Education Standards, CRICOS requirements, and institutional policies.
The successful candidate will have experience working within the higher education sector and a strong understanding of student assessment management, enrolment administration, academic governance, and student progression processes. They will demonstrate a student-centred approach to service delivery and a sound understanding of TEQSA and CRICOS compliance requirements.
This is a full-time position based in Melbourne CBD, conveniently located next to Flinders Street Station.
Key Responsibilities The Academic Administration Officer will:
- Monitor student academic progress and manage student progression processes, including intervention,
academic risk management, and enrolment variations.
- Provide advice and support to students regarding academic progress, re-enrolment, study plans, and available support pathways.
- Coordinate assessment and examination administration, including scheduling, record management, results processing, and examination logistics.
- Assess and process applications relating to Special Consideration, Alternative Assessment, Recognition of Prior Learning (RPL), leave of absence, deferrals, suspensions, and study load variations.
- Investigate and administer academic integrity and misconduct matters, including the preparation of documentation and student communications.
- Support student appeals processes and academic governance activities, including committee administration and record keeping.
- Maintain accurate student records and ensure the integrity of academic administration data across the student lifecycle.
- Ensure compliance with the Higher Education Standards Framework, CRICOS requirements, institutional policies, and regulatory obligations.
- Develop and maintain positive working relationships with students, academic staff, professional staff, and external stakeholders.
- Undertake other academic administration and student services duties as required.
Selection Criteria To be successful in this role, applicants will demonstrate:
1. Experience in higher education administration or student services.
2. Strong understanding of academic administration processes, assessment management, and student progression requirements.
3. Knowledge of higher education regulatory requirements, including TEQSA, CRICOS, and the Higher Education Standards Framework.
4. Excellent organisational and time management skills.
5. Excellent interpersonal skills and a demonstrated student-centred approach to service delivery.
6. Demonstrated attention to detail and experience maintaining records within Student Management Systems (such as Meshed or similar) and Learning Management Systems.
7. Ability to interpret and apply policies, procedures, and regulatory requirements.
8. Strong written and verbal communication skills, with the ability to collaborate effectively with academic and professional staff.
9. Ability to work independently, manage competing priorities, and exercise sound judgement.
