About the role

ECS (Australia) Pty Ltd is seeking an experienced and highly organised Finance & Logistics Administration Coordinator to join our team in Keilor Park.

This is a key role supporting the financial and operational activities of our international logistics and warehousing business. Reporting to management, you will be responsible for accounts administration, customer invoicing, debt collection, warehouse billing, account reconciliations, and supporting finance-related processes across the business.

The successful candidate will have strong attention to detail, excellent organisational skills, and a solid understanding of the freight forwarding, logistics, or warehousing industry.

Key Responsibilities:

-Prepare and issue warehouse storage, handling, and related service charges

-Monitor debtor accounts and actively follow up outstanding payments

-Reconcile customer and supplier accounts

-Process accounts receivable transactions accurately and efficiently

-Assist with accounts payable functions as required

-Review and validate operational charges to ensure accurate customer billing

-Maintain financial records and supporting documentation

-Liaise with customers, suppliers, warehouses, and operational staff regarding account queries

-Assist with month-end reporting and finance administration activities

-Support continuous improvement initiatives and process compliance

-Ensure data accuracy and integrity within CargoWise and related systems

-Management of company expenses and credit cards

-Office related duties as required

Skills & Experience:

Essential:

-Previous experience in Accounts Receivable, Accounts Administration, Finance Administration, or a similar role





-Experience within the international freight forwarding, logistics, transport, customs, or warehousing industries

-Strong working knowledge of CargoWise

-Experience with debtor management and collection of outstanding accounts

-Strong attention to detail with a high level of accuracy

-Excellent organisational and time management skills

-Ability to manage multiple priorities and meet deadlines

-Strong written and verbal communication skills

-Intermediate to advanced Microsoft Excel skills

-Process-driven approach with the ability to follow established procedures

Highly Regarded:

-Warehousing billing experience

-Understanding of freight forwarding cost structures, carrier charges and warehouse charging models

-Exposure to inventory and distribution operations

-Experience assisting with month-end financial processes

-Understanding of international shipping and supply chain operations
