About the role The Administration and Finance Officer provides accurate, timely and confidential payroll, finance and office administration support to help CASWA operate smoothly and effectively. The role supports the fortnightly payroll process, finance and travel administration, and the day-to-day administration of the Perth office.

Reporting to the Chief Operating Officer (COO), the role works closely with staff across CASWA and with CASWA's external payroll and accounting providers, supporting the flow of accurate and timely information. The Administration and Finance Officer plays a key role in ensuring employees are paid correctly and on time, payroll, finance and travel records are kept up to date, and office administration runs efficiently and professionally.

Key responsibilities

- Coordinate the fortnightly payroll process with CASWA's external payroll consultant by providing accurate timesheets, leave and employee information, checking payroll outputs and following up any issues.
- Assist with financial reporting, budgeting and financial and payroll compliance tasks under the direction and supervision of the COO.
- Provide administrative support to the COO and external accounting team, including preparing and providing financial information, invoices, supporting documents and records as required.
- Process employee expense claims and assist with routine finance administration, including accounts payable and receivable, reconciliations and maintaining financial records.
- Arrange employee and business travel, including flights, accommodation and ground transport, in line with CASWA's approval processes and procedures,



and maintain accurate travel records.
- Provide day-to-day office administration, including office supplies and equipment, shared inboxes, telephone enquiries, filing, records and general office requirements.
- Support new employee onboarding, Board meetings, staff events and other administrative activities across CASWA as required.

About you

- Demonstrated experience in payroll administration and experience using payroll or accounting systems such as Xero, MYOB, Employment Hero or similar.
- Experience liaising with payroll, accounting or other service providers.
- Demonstrated experience providing administration support in a busy office environment.
- Strong attention to detail and accuracy, particularly when handling payroll, financial and employee information.
- Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
- Good working knowledge of Microsoft Office, particularly Excel, Outlook and Word.
- Clear and qualified communication skills, with a service-focused approach.
- Ability to maintain confidentiality and exercise discretion when managing sensitive employee, payroll and financial information.
- Ability to work respectfully and effectively with Aboriginal people, communities and organisations.
