The Role
We’re looking for an experienced and capable Business Administration & Project Coordinator to support our Business Operations, Production and Engineering teams.
This isn’t a traditional administration role.
You’ll certainly provide day-to-day administrative support, but you’ll also work on projects involving product data, technical documentation, SharePoint, business systems, process improvement and AI automation.
We’re particularly interested in someone who is data and process minded – someone who enjoys organising information, notices when something doesn’t look right and naturally looks for better and more efficient ways of doing things.
Some of the Projects You’ll Work On
You’ll have the prospect to make a practical contribution to current projects including:
· New Website & Product Data – reviewing, collating and updating our product information for our new website.
· SharePoint Project – helping relocate and restructure our company filing system into Microsoft SharePoint.
· Technical Product Specifications – working with our Engineers to update product specifications with more detailed technical information, data, drawings and images.
· AI & Process Automation – helping identify opportunities to use AI and automation to streamline administrative and business processes.
Day-to-Day Responsibilities
Alongside project work, you’ll:
· Provide administrative support to Business Operations, Production and Engineering.
· Assist Engineers with documentation, data and records.
· Maintain information within our ERP system, Odoo.
· Work with spreadsheets, reports and business data.
· Maintain project documentation, registers and action lists.
· Follow up outstanding actions and information.
· Assist with production, engineering and quality documentation.
· Support document control and data accuracy.
· Assist with purchasing and supplier documentation where required.
· Help document and improve business procedures and workflows.
· Provide general administrative support as required.
About You
You may have previously worked as a Project Administrator, Project Coordinator, Engineering Administrator, Operations Coordinator or experienced Business Administrator.
More important than your previous job title is how you approach your work.
You’ll ideally bring
· Solid administration or project coordination experience.
· Excellent organisation and attention to detail.
· A strong data and process mindset.
· Confidence working with spreadsheets, systems and business information.
· Strong Microsoft Office skills, particularly Excel, Word and Outlook.
· Experience with SharePoint would be highly regarded.
· ERP or business management system experience, preferable but not essential.
· An interest in AI, automation and technology and how they can improve everyday business processes.
· The confidence to work with Engineers and Production personnel.
· The ability to work independently and take ownership of tasks.
· The confidence to follow things up and keep projects moving.
· The ability to adapt when priorities change.
Experience in a manufacturing, engineering, or other technical/project environment would be highly regarded.
The Working Arrangement
We envisage the role working approximately three days per week during school hours.
We’re happy to discuss some flexibility around the days and hours for the right person.
The position may initially commence as a maternity leave contract, however there is potential for it to transition into an ongoing permanent part-time position.
