Primary objective

Provide high‑level administrative and operational support to the Rural Generalist Coordination Unit (RGCU), working collaboratively across programs and acting as a key liaison between the team and internal and external stakeholders.

Key duties and responsibilities

- Manage day-to-day administrative functions of the RGCU, including generic mailbox management, telephone enquiries, meeting coordination, travel arrangements and secretariat support
- Provide operational support for RGCU program activities, including coordination of events, workshops,



participant communications and stakeholder engagement activities.
- Coordinate the Australian Primary Care Prevocational Program-Rural (APCPP), offering pastoral support to participants and regional health services while coordinating career navigators, communication and supporting program activities
- Maintain accurate records, registers, databases and filing systems in line with NT Government records management requirements and prepare reports to support program administration
- Process and manage financial transactions including invoice processing, procurement activities and expenditure monitoring in compliance with NT Government financial management framework
- Prepare draft correspondence, briefings, reports, guidelines and other documents to a high standard, including ministerial and executive communications, as directed
- Occasional overnight rural/ remote or interstate travel may be required.
- Develop, implement and review administrative procedures and workflows to ensure continuous improvement, and compliance
- Adhere to Work Health and Safety policies and procedures and contribute to a safe and supportive team workplace culture.

Selection criteria

Essential

- Proven financial administration skills including experience with invoice processing, procurement, reconciliation and expenditure monitoring in accordance with relevant policies and frameworks




- Highly developed organisational and time management skills with the ability to prioritise competing tasks, meet deadlines and maintain quality outputs under pressure
- Strong written and verbal communication skills, including the ability to draft accurate correspondence and documents, conduct professional phone and in-person engagement, and tailor communication style to a range of audiences
- Advanced computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to use or learn government corporate systems for finance, records and procurement.
- Demonstrated ability to work both independently and collaboratively as part of a small team, exercising initiative, discretion and sound judgement.

Desirable

- Demonstrated experience in program coordination, providing high-level administrative and business support in a government or complex organisational workplace, with a strong understanding of administrative systems and processes
- Tertiary qualification in business administration, public administration or a related discipline, or substantial equivalent experience.
- Knowledge of NT Government systems
- Knowledge of issues affecting rural and remote health workforce in the Northern Territory.
