About the role The Client Experience Assistant plays a crucial administrative role in driving seamless operations across both the Client Support and Client Engagement teams. This fast-paced position focuses on high-volume task execution, data auditing, inbox triage, and CRM administrative support. As a quick learner with exceptional attention to detail, you will handle key back-office workflows that keep our participant retention, lead pipelines, and service delivery running smoothly and accurately.

Key responsibilities

- Continuously monitor, process, and route high volumes of incoming communications across shared team inboxes
- Address routine administrative and client queries or escalate complex cases to the appropriate Client Support or Engagement team member in a timely manner
- Receive, review, and assign incoming notifications to the correct team members to ensure seamless subsidy plan alignment




- Maintain accurate records of all correspondence and clients' support circles to provide a seamless experience for our clients
- Routinely cross-check open lead records in the CRM to ensure accurate status tagging, prevent contact drop-offs, and maintain clean sales pipelines
- Identify recurring administrative bottlenecks and suggest process improvements to boost team efficiency
- Collaborate seamlessly across both Client Support and Client Engagement teams to meet weekly operational goals

About you

- Proven capability to execute high-volume administrative and data entry tasks quickly without sacrificing quality or accuracy
- A strong eye for spotting data discrepancies, errors in scheduled deliveries, or incomplete CRM leads
- Rapidly adapts to internal systems, workflows, software platforms, and NDIS terminology
- Clear written and verbal communication skills for triaging enquiries and liaising with internal stakeholders
- Outstanding time management skills with the ability to prioritize tasks independently in a quick-paced environment
- Knowledge of the NDIS or Aged-Care Sector (preferred)
- Background in nutrition (preferred)
- Knowledge of Salesforce and MS Office (preferred)
- NDIS Worker Screening Checks (NDISWSC) required
