We are looking for a highly organised superstar with a proven track record in administration, EA (Executive Assistant) support, relationships and operations. You thrive on managing multiple competing priorities and responsibilities, and your past experiences have shaped you into an expert juggler.

and we value versatility and a willingness to roll up your sleeves wherever you're needed.

You’re looking for a role that will let you use your excellent communication and organisational skills, and attention to detail, while working flexible, part-time hours – with loads of room for growth and the ability to expand your hours over time.

About the Role

Reporting to the CEO, you’ll be responsible for the end-to-end management of our programs – everything from helping to generate leads, building lasting relationships, managing the invoicing, and producing eye-catching presentations right through to measuring the success of programs, project management and maintaining really positive relationships and program follow up. You’ll work closely with Celeste and our Digital Content Producer as well our external partners. Your job, in a nutshell, is to create an exceptional experience for our clients, who are predominantly Senior Leaders in large corporates. Building relationships with them in a professional, responsive, and personal (read: human) style is critical. Hours: This is a part-time role, Monday to Thursday approximately 25–30 hours per week. School hours will be considered for the right candidate (Mon-Fri an option).

Key Responsibilities:

- Coordination: managing the needs of both the business, Celeste and our clients
- Client relationship: building and maintaining relationships with our clients from the very first call or email
- Presentations: assisting in the creation and submission of business proposals
- Project management: coordinating and managing client programs from start to finish
- Calendar management: scheduling national and international coaching, Leadership and Culture programs
- Document design: preparing and coordinating program resources and content, including slide packs, worksheets and anything else required - Designing high quality, client facing PowerPoints
- Facilitation support: Zoom support to assist managing break out rooms, file uploads, chat etc.
- Client Database management: maintaining and updating client and potential client information
- Travel Coordination: booking flights, transfers, accommodation and itineraries
- Finance: invoice processing and follow ups
- Process improvement: looking for smarter,



more efficient ways of doing things, including exploring how AI, automation and autonomous systems could support the business
- General: arranging client and referral gifts, we love to surprise & delight! Ordering stationery, books, and workshop manuals.

About You

You are:

- An experienced administrator or EA (Executive Assistant)
- An excellent communicator – both in writing and verbally
- Passionate about people and achieving brilliant outcomes for everyone we work with
- Fascinated by human behaviour and the way people think
- Able to have open, honest and Connected conversations
- Proactive and self-motivated and love improving processes
- Curious about and capable with AI, automation and autonomous systems, and always on the lookout for smarter ways of working
- A hands-on, can-do person – happy to roll up your sleeves and pitch in wherever needed; as a small business, we really value versatility
- Self-directed and autonomous, however able to take direction where needed (and ask for it)
- Committed to professional development and personal growth
- A professional, high performer, with deep integrity

You have:

- Experience in a similar role (Administrator, EA/Executive Assistant, Office or Business Manager) and advanced MS Office skills (particularly Word, Excel, PowerPoint and Outlook)
- High energy and a super positive attitude
- Solid time management and organisational skills
- Pride in the work you do and excellent attention to detail
- A sense of adventure and a desire to build something brilliant together
- Experience in a similar role or environment
- Operations background would be advantageous
