About the Role
Procurement
- Coordinate end-to-end procurement activities, including RFQs, tenders, market engagement activities and contract award processes, ensuring commercially sound, value-for-money and well-governed outcomes.
- Support stakeholders in developing scopes of work, procurement strategies and evaluation criteria.
- Prepare, issue and administer procurement documentation in accordance with organisational policies and governance requirements.
- Coordinate supplier onboarding and due diligence activities.
- Support the ongoing development and improvement of procurement processes, templates and governance frameworks.
Contract Management & Administration
- Administer the organisation's contract management processes, systems and records.
- Maintain contract registers, procurement records and key contract information.
- Coordinate contract execution, renewals, extensions, variations, notices and expiry tracking.
- Monitor contractual obligations, milestones, insurances and compliance requirements.
- Support contract owners in managing contract performance and supplier obligations.
- Assist in developing and improving contract management processes, templates and reporting tools.
Supplier Governance & Compliance
- Maintain supplier records and compliance documentation.
- Monitor supplier compliance requirements, including insurances, licences, accreditations and contractual obligations.
- Support supplier performance monitoring and reporting activities.
- Assist with internal and external audit activities relating to procurement, contracts and supplier management.
- Support the development and continuous improvement of supplier governance, compliance and reporting processes.
- Assist with the administration of the organisation's insurance requirements, including policy renewals, claims coordination and contractor insurance compliance.
Commercial
- Partner with business stakeholders to deliver value-for-money procurement and contracting outcomes.
- Provide commercial guidance and recommendations in relation to procurement activities, supplier engagements and contract management matters.
- Lead or contribute to commercial reviews of quotations, proposals and supplier submissions.
- Prepare business cases, procurement recommendations and approval papers.
- Support commercial negotiations and supplier engagement activities.
- Develop procurement, contract and supplier performance reporting to support informed business decision-making.
- Identify opportunities to improve commercial outcomes, reduce risk and enhance operational efficiency.
To be successful in this role, you will bring
- Tertiary qualification in Business, Commerce, Procurement, Supply Chain Management, Contract Management or a related discipline.
- Demonstrated experience (typically 5 years) in procurement, contract management, supplier management or commercial administration.
- Experience within transport, infrastructure, construction, utilities, operations and maintenance, or similar industries is desirable.
- Strong commercial judgement and a practical, solutions-focused approach.
- Confident managing competing priorities and deadlines in a dynamic environment.
- Collaborative, proactive and able to build effective stakeholder relationships.
- Strong organisational skills and attention to detail.
- Adaptable, self-directed and aligned with organisational values.
As part of the recruitment processes at Keolis Gold Coast, pre-employment checks include reference checks, National Police Certificate and Rail Safety Worker Medical. Further to this, successful candidates will be required to provide a National Police Certificate where requested throughout employment and maintain their Rail Safety Medical status.
