Contract Administrator

Location: Bundall / Stapylton, Gold Coast

About ARRC Gold Coast The Advanced Resource Recovery Centre, or ARRC, is transforming how the Gold Coast manages its waste and turns it into value. Owned by the City of Gold Coast, this $1.6 billion precinct is set to become one of the world’s first planned waste and energy precincts – providing Gold Coast residents a new value-for-money and environmentally responsible way to manage our region’s waste. It will also divert up to 97% of the waste currently sent to landfill.

Progressively rolling out during the next six years, our initial focus is three integrated but distinct facilities – ARRC Organics, ARRC Recycling and ARRC Energy. The three facilities will process the waste from your green, yellow, and red bins, respectively. In fact, ARRC Organics in Yatala is already doing just that.

ARRC is also developing a circular economy innovation park (ARRC Innovation) and community hub (ARRC Hub) as well as looking at opportunities to decarbonise the City’s vehicles through ARRC Hydrogen.

Creating jobs for more than 2,000 people during construction and 350 people during operation, ARRC is being designed from the ground up to achieve the very best circular economy outcomes for our region.

While ARRC’s corporate office is based in Bundall, the ARRC precinct is located primarily in Stapylton, the Gold Coast’s premiere industrial precinct and a Queensland Government identified Recycling Enterprise Area.

The opportunity

Reporting to the Capital Delivery Manager, you will provide contract administration, commercial and project support across construction, consultancy and professional services contracts.

Working closely with Project Managers, you will maintain accurate contract records, coordinate variations and payment claims, monitor contractual requirements, support project cost reporting and assist with procurement, financial administration and project reporting.

This role is suited to someone who is highly organised, commercially minded and confident working across multiple projects in a fast-paced delivery environment.

Your Key Responsibilities – Make Your Mark

Contract administration

- Administer construction,



consultancy and professional services contracts in conjunction with Project Managers.
- Prepare and maintain contract correspondence, notices and supporting documentation.
- Coordinate the assessment of variations, progress claims, payment claims and extensions of time.
- Monitor contractual obligations, submission requirements and response timeframes.
- Maintain contract registers covering variations, extensions of time, notices and key deliverables.
- Identify and escalate potential contractual, commercial or compliance issues.

Commercial and financial support

- Coordinate monthly project cost reporting, forecasting and budget updates.
- Support procurement activities, contract establishment, tender documentation and contractor onboarding.
- Maintain commitment, expenditure, variation and contingency registers.
- Raise purchase orders and monitor commitments against approved budgets and delegated authorities.
- Coordinate invoices, payment claims, payment certifications and supporting documentation.
- Maintain accurate and auditable commercial records across active projects.

Project administration and reporting

- Maintain project filing structures within Aconex, SharePoint and other approved systems.
- Work with Document Control to ensure project and contract records are properly captured and maintained.
- Maintain project action, decision and correspondence registers.
- Prepare meeting agendas, minutes and action logs as required.
- Support regular project reporting covering cost, programme, risk and progress.
- Track project approvals and maintain supporting records.

Governance and stakeholder support

- Maintain project risk, issue and commercial registers.
- Provide administrative and records support to the Superintendent and Superintendent’s Representatives.
- Liaise with Project Managers, Finance, Procurement, Legal, Document Control, contractors and consultants.




- Support consistent contract administration and reporting practices across the Capital Delivery portfolio.

What We’re Looking For We are seeking a highly organised and commercially aware Contract Administrator who takes pride in accuracy and enjoys supporting complex project delivery.

You will be proactive, confident managing multiple priorities and comfortable working with contractual documentation, financial information, project systems and a broad range of internal and external stakeholders.

Essential qualifications

- Relevant tertiary qualification in Business, Contract Management, Procurement or a related discipline, or equivalent demonstrated experience.
- Formal training or certification in contract administration, construction or procurement would be highly regarded.

Essential experience

- Approximately three to five years’ experience in contract administration within civil construction, infrastructure, utilities or a comparable project delivery environment.
- Experience administering construction or professional services contracts throughout the project lifecycle.
- Experience maintaining commercial records, preparing project reports and supporting financial administration.
- Experience using procurement, contract management and document control systems.
- Exposure to AS2124, AS4000, AS4300 or similar construction contracts would be highly regarded.
