About the role
Reporting to the Director, Finance & ICT, you will be responsible for maintaining the accuracy, integrity and usability of Ageing Australia’s CRM data.
You will work across the organisation to identify and resolve data quality issues, support data governance and cleansing activities, improve CRM processes and help staff use the system consistently and effectively.
Key responsibilities include:
- CRM data quality and integrity: Maintain accurate, consistent and appropriately linked records for member organisations, facilities and contacts. Investigating and resolving duplicate, incomplete, outdated or incorrectly classified information.
- Data governance and controls: Support data audits, cleansing, validation, standardisation and archiving activities. Help maintain clear standards for naming conventions, required fields,
record ownership and access controls.
- CRM workflows and processes: Support workflows for record updates, approvals, integrations, online forms, events and member change requests. Work with teams to improve how information enters the CRM and is reviewed and maintained.
- Reporting and insights: Assist with CRM reports, dashboards, data extracts and quality checks. Support accurate segmentation and identify data gaps that may affect member engagement, marketing, reporting or service delivery.
- Staff support and guidance: Provide practical assistance with CRM searches and record management. Develop clear procedures, quick-reference guides and training materials to encourage consistent system use.
- Continuous improvement: Recommend practical improvements to CRM structures, forms, workflows and reporting processes to reduce duplication and make information easier to maintain and use.
- Data risk and privacy: Identify and escalate data quality, privacy, access and system-use risks, ensuring member and stakeholder information is handled responsibly.
About you
You are methodical, curious and comfortable investigating data issues through to resolution. You can work collaboratively with people across different teams and explain data requirements in clear, practical language.
To succeed in this role, you will bring:
At least 2 years’ experience working with CRM systems, databases,
business systems or data administration processes.
- Strong attention to detail and a clear commitment to data accuracy.
- Experience maintaining, reviewing or cleaning large volumes of data.
- Ability to identify data quality issues and follow them through to resolution.
- Good understanding of data privacy, confidentiality and responsible information handling.
- Ability to work with staff across different teams and explain data requirements.
- Confidence using Microsoft Excel or similar tools to review and compare data.
- Practical problem-solving skills and a willingness to improve processes.
- Previous experience using HubSpot CRM will be highly advantageous.
