Facilities Coordinator | YOT Club
Location: Main Beach, Gold Coast Employment Type: Full Time, 38 hours per week
Salary: $70,000 to $75,000 + super

YOT Club is one of Australia’s leading luxury hospitality and marine businesses, operating a fleet of premium charter vessels, hospitality venues and supporting facilities across the Gold Coast and Brisbane. We’re looking for a proactive, organised and solutions-focused Facilities Coordinator to help keep the moving parts of our operations running smoothly.
This is a varied role combining facilities coordination, administration, supplier management and hands-on operational support across our vessels, office, warehouse and hospitality operations.
No two days are the same. One day you may be coordinating vehicle servicing and maintenance contractors, the next organising cleaning schedules, stock movements, uniforms or equipment servicing.

About the Role
Reporting to the General Manager, the Facilities Coordinator is responsible for coordinating a broad range of operational and facilities requirements across YOT Group. You’ll work closely with internal departments, contractors, suppliers and service providers to ensure company assets are maintained, operational requirements are completed on time and facilities remain organised and ready for upcoming events and charters.
The role includes responsibility for company vehicle administration, cleaning coordination, purchasing, uniform management, stock deliveries, kitchen and bar equipment servicing, repairs and maintenance, and warehouse and office storage.
Key Responsibilities
- Manage company vehicle bookings, servicing schedules, registrations, insurance renewals, driving logs and incident reporting
- Maintain vehicle compliance and ensure company vehicles are well maintained and available when required
- Prepare and manage weekly cleaning schedules around the event and charter calendar
- Act as the primary contact for cleaning contractors and monitor quality, standards and budget
- Process weekly staff purchase requests through Asana
- Check existing stock before purchases are made and maintain organised purchasing and storage areas
- Coordinate company uniforms, including stock levels, staff sizing, condition, repairs and replacements
- Assist with food and beverage stock deliveries to vessels
- Assist with monthly stock takes and special vessel stock requirements
- Coordinate scheduled servicing and maintenance of kitchen and bar equipment
- Coordinate assigned repairs and maintenance tasks and follow up contractors and suppliers
- Ensure urgent maintenance is prioritised around upcoming events and charters
- Monitor maintenance costs and ensure tasks are completed within required timeframes and budgets
- Maintain clean, organised and functional warehouse and office storage areas
- Support staff in following established storage and operational procedures
The current position description specifically requires maintenance tasks to be managed according to operational priority, with urgent items completed before the next charter and other tasks tracked through defined completion timeframes.
About You
We’re looking for someone who is naturally organised, practical and comfortable managing multiple priorities at once. You’ll be someone who notices what needs to be done, follows tasks through to completion and enjoys creating order in a busy operational environment.
You’ll ideally have
- Excellent organisational and time management skills
- Strong attention to detail
- Confidence managing multiple priorities simultaneously
- Solid communication and interpersonal skills
- A proactive and solutions-focused approach
- Confidence liaising with contractors, suppliers and internal teams
- Good computer and administration skills
- Confidence using spreadsheets and task-management systems
- Experience with Asana or similar software would be advantageous
- Previous experience in facilities coordination, operations, logistics, hospitality, property services or a similar role
- A current Australian driver’s licence
- The ability to assist with practical operational tasks when required

- Cleaning is completed on time, within budget and to the required standard
- Uniform and stock records remain accurate

- Maintenance tasks are followed through within their required timeframes
- Warehouse and office storage areas remain clean, organised and easy to navigate
