About the role

This is a newly created leadership role reporting directly to the Managing Director and working alongside the Service Manager as part of the senior leadership team. You will lead the team behind the service: administration, accounts, rostering and people support, and the systems that hold all of it together.

This is a broad, hands on role. You will be supported by an external bookkeeping and accounting partner for technical finance work and by an external human resources partner for employment advice, which leaves you free to run the day to day engine of the business well. It suits an experienced finance, business services or administration manager who reads numbers and rosters with equal confidence, who enjoys building order out of a busy operation, and who wants to see the direct impact of good systems on frontline service delivery.

Key responsibilities

- Leading, supervising and developing the administration, accounts and rostering team, including day to day direction, workload allocation, coaching, and cover when team members are on leave
- Overseeing the administration function, including reception, the shared inboxes and phones, records and document management, contracts, insurances, supplier relationships and office operations across our sites
- Setting and monitoring charging and coding practice, and teaching the team to apply it correctly and consistently
- Identifying and driving process improvements across administration, rostering and accounts
- Leading the rostering function and the Rostering Coordinators, with a focus on Award compliant, participant centred and cost effective rosters




- Working with the Service Manager on staff and participant matching into shifts and care teams
- Participating in the after hours on call roster on a shared rotation with other senior staff and responding to escalations
- Coordinating employee lifecycle administration, including recruitment advertising and shortlisting support, onboarding, contracts and variation letters, and exits including final pay and return of property
- Monitoring worker compliance alerts and following up renewals for NDIS worker screening, police checks, first aid, licences, qualifications and insurances
- Administering leave requests and approvals, and preparing fortnightly leave balance reporting

About you

- A qualification in accounting, finance, business or commerce, or equivalent demonstrated experience
- Proven experience managing finance and administration functions, ideally within disability, aged care, health or community services
- Experience leading and developing a small team, with a practical and approachable style
- Sound end to end payroll and accounts experience, including reconciliation and reporting
- Working knowledge of NDIS pricing arrangements and claiming, or the capacity to learn these quickly
- Familiarity with the Social, Community,



Home Care and Disability Services Industry Award and how it applies to rostering and payroll
- Confidence with cloud accounting software such as Xero, and with client management and rostering platforms such as Brevity
- A systems mindset, with a track record of improving processes and getting the best out of business software rather than working around it
- Strong attention to detail, sound judgement, and the ability to hold confidentiality in a small organisation
- A current NDIS Worker Screening Check, Working with Children Check, National Police Check and Victorian driver licence, or the willingness to obtain them

- A salary of $92,287 to $105,571 per annum plus 12% superannuation, set within SCHADS Level 4 to Level 5 according to your qualifications and experience
