About the Role
This role reports directly to the Head of Brand, Marketing and Growth and is responsible for the operational delivery of Innocean’s marketing and PR activity, alongside project management of the agency’s new business events. It acts as the delivery engine behind the agency’s profile-raising agenda, ensuring initiatives move smoothly from idea to execution.
A core focus of this role is project managing the agency’s marketing, PR & Comms output end-to-end: identifying and briefing the right people across the business, per the agency profiling process, to draft releases and supporting content, shepherding materials through the correct chain of approval, and ensuring deadlines are met. The role also owns distribution of releases to industry trade press and maintains the relationships needed to place them.
This role plays a key part in supporting new business through flawless delivery of Innocean’s annual events - managing restaurant/venue bookings and producing event collateral such as placecards and discussion cards - and by providing light-touch guest research support, working from a brief provided by the Head of Brand, Marketing and Growth, to help build and maintain the guest database ahead of each event.
Success in this role requires a highly organised, deadline-driven operator who can coordinate multiple stakeholders across the business, keep PR,
marketing and event initiatives moving without needing to own their strategic direction, and bring precision and reliability to every deliverable.
PR Project Management
- Identify and brief the right people across the agency (creative, strategy, account leads) to draft press releases and supporting PR content. Keep on top of work going through the agency to ensure work is PR’d in a timely manner, as well as up on the agency website and social touchpoints.
- Project manage each release through the correct internal chain of approval, securing sign-off from all required stakeholders.
- Own the PR calendar and deadlines, ensuring releases and supporting materials are delivered on schedule and tracked in our PR database.
- Maintain agency relationships with relevant industry trade press and media contacts, and manage distribution of releases to them.
- Track coverage and pick-up of releases to report against KPIs.
- Maintain a marketing/PR delivery calendar, proactively flagging risks to timelines.
Event Management
- Manage venue/restaurant bookings for Innocean’s annual new business events, including PQ and PO creation and approvals.
- Produce all event collateral requirements, including placecards and discussion cards.
- Provide light-touch guest research support against a brief from the Head of Brand, Marketing and Growth, to help build and maintain the new business guest database.
- Manage invite creation & send via Hubspot, with support of internal CRM team, RSVP tracking and attendee logistics ahead of each event.
- Coordinate with the internal LT team (who host and run the day) to confirm guest list and provide a high-level overview of guests.
Marketing Project Management
- Project manage marketing initiatives and content deliverables end-to-end, coordinating input from creative, strategy and content team to meet deadlines.
- Maintain Hubspot database, ensuring contacts are up to date
- Schedule social posts across IG/LI within Hubspot
- Coordinate the refresh and maintenance of credentials, case studies and marketing collateral, briefing in and following up with relevant contributors.
- Support the Head of Brand, Marketing and Growth in translating strategic priorities into clear, actionable project plans.
RFP & Tender Support
- Project manage RFP, EOI and tender responses end-to-end from a logistics standpoint: building and maintaining the submission timeline, coordinating inputs from creative,
strategy, media and account leads, and chasing outstanding contributions to meet deadlines.
- Support Head of Brand, Marketing & Growth in tracking tender/RFP opportunities as they're released (e.g. AusTender, NSW Tender Portal, industry alerts), flagging relevant opportunities to the Head of Brand, Marketing and Growth for qualification.
- Assist with research to support responses - competitor intelligence, market/category data, and relevant case studies and credentials - compiling findings for the response team to draw on.
- Manage formatting, compliance checks and submission logistics, ensuring responses meet the brief's requirements and are submitted on time.
- Maintain a central tracker of RFP/tender activity, outcomes and win/loss reasons.
Stakeholder & Process Coordination
- Act as the connective tissue between creative, strategy, account and leadership teams for all PR, marketing and event deliverables, ensuring clarity of ownership and timelines.
- Maintain clear, up-to-date trackers for PR, marketing and event activity (status, ownership, deadlines).
- Proactively escalate risks, blockers or delays to the Head of Brand, Marketing and Growth.
- Support the Head of Brand, Marketing and Growth in keeping the new business guest database current between events.
About You
Knowledge, Skills & Experience
- 2–4 years' professional marketing experience, with PR and project management experience preferred.
- Degree qualifications within business/marketing/comms preferred.
- Proficiency in Hubspot ideal, or willingness to learn and become self-sufficient
- Proficiency with use of AI (Claude/Gemini) in context of research
- Analytical thinker, and proactive problem solver, able to pre-empt challenges and develop relevant solutions.
- Exceptional interpersonal skills, able to build and maintain effective relationships with a broad range of stakeholders.
- Flexible approach to work, demonstrating resilience and ability to rapidly adapt to change.
- Exceptional time management skills with demonstrated experience meeting tight deadlines without compromising on work quality.
