Position Overview

We are seeking an experienced and efficient Medical Administration/Receptionist with a strong passion for customer service and excellent organisational skills to join our dynamic team.

In this role, you will play a key part in supporting day to day operations of the practice while delivering exceptional patient care. The primary purpose of the role is to provide high quality, accurate and effective reception and administration services that meet both professional and company standards. You will demonstrate a genuine commitment to providing professional, caring and friendly service to patients, referrers and customers at all times.

Key Responsibilities

- Administrative and reception duties, including greeting patients, diary and calendar management, processing payments, receipts, invoicing and managing phone systems.
- Consistently demonstrate professionalism, integrity and behaviours aligned with the company’s core values.
- Liaise with funders, Support Workers for our local and external clinics.
- Ensure all mail and postage is dealt with in a timely manner including receipting in products.
- Manage the cleanliness and restocking of all patient and staff amenities, including but not limited to common areas, waiting rooms, treatment room and staff facilities.




- Implement process and procedures as directed by the Clinical Manager and/or Practice Manager.
- Update and maintain confidential information databases to a high standard, in line with company policies and audit requirements.
- Ensure all patient folders are kept up to date with all required documentation.
- Conduct ad-hoc administrative tasks and projects duties as directed by the Clinical Manager and/or Practice Manager.
- Maintain a safe and healthy working environment and ensure compliance with all company OH&S; policies and procedures.

Required Skills

- A professional, courteous and confident phone and customer service manner.
- Ability to work in numerous program systems and government portals.
- Previous experience within a Health Care environment (highly regarded).
- Strong verbal and written communication skills, with the ability to communicate clearly and professionally with patients and staff.
- A presentable, empathetic and adaptable approach.
- Excellent organisational skills with the ability to independently manage and prioritise a busy workload.
- A high level of self-motivation with the ability to work both autonomously and as part of a team.
- A fast learner who is open to change, comfortable asking all questions and able to adapt to and implement new processes.
