Operations & Executive Assistant

Help build and organise a growing business
Can Club is a growing recycling collection business. We are looking for a capable, hands-on Operations & Executive Assistant to work directly with our COO and help turn a wide range of business projects, administrative tasks and unfinished initiatives into completed outcomes.
We are currently recruiting a Sydney Depot Supervisor to take ownership of day-to-day operations. This role will work alongside that position, helping establish the systems, suppliers and processes the Supervisor needs, while also removing administration and project coordination from the COO.
This is an excellent opportunity for an experienced Executive Assistant, Senior Administrator or Operations Coordinator who enjoys variety, practical problem-solving and getting things finished.
What you'll be doing
Your work will cover a broad range of business activities, including:
- Researching suppliers, obtaining quotes, comparing options and coordinating implementation.
- Helping establish truck servicing and repair arrangements, fleet records and practical handover procedures.
- Coordinating driver recruitment, initial screening, interviews, onboarding paperwork and training administration.
- Preparing payment runs, billing checks, cash-flow information and other finance administration for management review.
- Coordinating consumables ordering, bin orders, international shipping, supplier payments and rental-truck bookings.
- Assisting with business software implementation, configuration, testing and rollout, including systems such as Aircall, Zendesk and Can Club's operational software.
- Maintaining project registers, following up suppliers and developers, tracking actions and preparing concise progress reports.
- Documenting practical SOPs,
checklists and processes by working with the people who perform the work.
- Supporting customer administration, cost-reduction initiatives, marketing projects and other business improvement activities.
- Researching PPE and uniforms, obtaining samples and pricing, and organising supplier and ordering arrangements.
You will not be expected to be an accountant, software developer, lawyer or fleet mechanic. You will be expected to research unfamiliar matters, coordinate the right people, organise the work and follow through until the agreed outcome is achieved.
About you
You are an experienced administrative or business-support professional who has worked in a small or medium-sized business and understands that not every process will be perfectly documented.
You are comfortable receiving an instruction such as, “We need a better truck servicing arrangement—please research the options and help get it set up,” and taking the initiative to make progress.
You will bring
- Solid organisation, attention to detail and follow-through.
- Experience supporting senior management across a variety of business functions.
- Confidence dealing with suppliers, operational staff and external service providers.
- Good spreadsheet, Microsoft 365 and general business software skills.
- The ability to research options and prepare clear, practical recommendations.
- Experience coordinating projects, implementing processes or improving administrative systems.
- Strong written communication and the ability to create straightforward procedures and checklists.
- Sound judgement about when to act independently and when to seek approval.
Experience in logistics, field services, distribution, manufacturing or another operational SME will be highly regarded. Experience with bookkeeping administration, fleet coordination, recruitment administration or software implementation would also be valuable.
What makes this role different
This is not a role where you will spend your day simply managing a calendar or answering emails. You will work closely with the COO on a varied list of practical business priorities and have the opportunity to see your work become functioning systems and processes.
Equally, this is not a senior management position. You will not be responsible for running the Sydney depot or making major strategic and financial decisions. Your value will come from taking ownership of the preparation, administration, coordination and implementation support that allows the COO and Depot Supervisor to focus on their respective responsibilities.
The arrangement
- Initial three-month engagement, with potential for extension or permanent employment.
- Four days per week or full-time, depending on the successful candidate.
- Sydney-based, with substantial onsite time and some flexibility for focused work.
- Reports directly to the COO.
- Salary equivalent of $75,000–$90,000 plus super, pro rata, depending on experience.
