Guided by our mission to foster connection, nurture health, and enhance wellbeing, we are seeking a positive and proactive Reception & Administration Officer to join our dedicated team.
This is a wide-ranging role that includes reception, general administration, recruitment & onboarding support and payroll assistance. You will play an important part in creating a welcoming environment while supporting the smooth day-to-day operation of our home.
What you'll do:
Reception & Customer Service
- Deliver warm, responsive, and professional customer service to residents, families, visitors, and staff
- Create an outstanding first impression of Vermont Aged Care
- Manage incoming phone calls, enquiries, and visitor reception
- Support day-to-day reception and administrative functions with accuracy and efficiency
- Maintain professional communication across all areas of the organisation
Administration Support
- Maintain resident and staff documentation, records, and filing systems
- Assist with general administrative duties and data entry
- Ensure records are accurate, current, and managed confidentially
- Support compliance and documentation requirements as needed
Recruitment & Onboarding Support
- Assist with the recruitment of personal care assistants, nursing staff, catering employees, and other team members
- Review applications and conduct initial candidate screening
- Assist to coordinate interviews, reference checks, and recruitment administration
- Assist with the onboarding and orientation of new employees
- Maintain employee records, onboarding documentation, and follow up with outstanding training requirements, as required
Payroll & Workforce Administration
- Assist with payroll administration and roster coordination
- Support workforce administration processes and employee record management
- Ensure payroll and workforce documentation is maintained accurately and confidentially
About you We are looking for someone who is:
- Genuinely interested in and passionate about supporting older people
- Highly organised with exceptional attention to detail
- Proactive and able to manage multiple tasks and deadlines
- Confident communicating with residents, families, employees, and management
- Professional, approachable, and able to maintain strict confidentiality
- Comfortable working independently and taking ownership of tasks
- Strong with administration, documentation, and record keeping
- Confident following up outstanding information and resolving issues proactively
- Able to identify opportunities for improvement and take initiative
- Self-motivated, reliable, and committed to high standards
Experience & Qualifications The ideal candidate will have:
- Previous experience in a Receptionist, Administration Officer, HR Assistant, or similar administrative role
- Experience with recruitment, onboarding, payroll, or workforce administration (preferred)
- Strong computer skills, including proficiency in Microsoft Office
- A qualification in Administration, Business, Human Resources, or a related field (preferred but not essential) ????

- Current driver's licence (desirable)
Job Types: Part-time, Permanent, Temp to perm Pay: $30.00 – $37.00 per hour

- Vermont VIC 3133: Reliably commute or planning to relocate before starting work (Required)
