SERVICE COORDINATOR (SENIOR) - Contract Performance, Reporting & Planning
Full-time - Monday to Friday, 8:30am – 5:00pm
Salary - c$*****k base + superannuation

Reliable Plumbing Services is Victoria's leading commercial plumbing provider to the tertiary education sector. We partner with major campuses across the state, delivering scheduled, preventative, reactive, and facilities maintenance services that keep essential infrastructure operating safely and efficiently.
Our business has recently expanded through a new contract wins, which has resulted in us seeking a new team member for a pivotal role in the business. This position sits at the heart of our operations and plays a critical role in ensuring exceptional service delivery to our valued clients.
About the Role
Based in Notting Hill, you will be the operational engine behind our site-based trades team, ensuring the right people are in the right place at the right time, while maintaining exceptional client communication and administrative precision. This is not just a standard coordination role.
You will act as the operational engine room of the contract, partnering closely with the contract Service Manager to bring discipline, visibility, and forward planning across all service delivery activities.
This is a hands-on role where you will drive structure across reactive, scheduled, and preventative maintenance, asset data, compliance, performance tracking, and monthly reporting, ensuring nothing falls through the cracks.
You'll work closely with leadership and technicians to bring structure, consistency, and accountability into how work gets planned and executed.
Key Responsibilities
Plan and coordinate reactive, scheduled, and preventative maintenance across multiple sites.
Maintain control over technician service reporting, ensuring all work is completed, documented, and closed out correctly.
Monitor and manage asset data integrity, identifying and resolving inconsistencies.
Use systems (Aroflo) to run reports, interrogate and extract data, and identify gaps or risks for operational improvement.
Provide clear visibility across performance, backlog, and compliance.
Hold technicians accountable for the timely and accurate completion of reports and data updates.
Proactively identify issues and implement structured solutions, not just react to problems.
About you

You will be a highly structured, detail-oriented (please read the whole job ad) person to own the planning, tracking, and reporting disciplines of our client operations. You'll be the person ensuring jobs are not just done, but closed out properly, reported accurately, and delivered to standard. This position is critical infrastructure for the contract's success.
Desired Experience

Experience coordinating technicians in a scheduled or preventative maintenance structured environment, or can demonstrate capability in this area.
Invoicing, job costing,
raising purchase orders, client and contractor liaison.
Strong systems capability (Aroflo or similar field service platforms highly regarded) in an Apple-based system with excellent computer skills. Exposure to AI programs highly desirable.
Proven ability to manage and interrogate data, client monthly reporting, and compliance requirements.
Experience working in environments where performance, accuracy, and accountability are essential.
