PLAY A KEY ROLE IN DELIVERING $300 MILLION OF CRITICAL WATER INFRASTRUCTURE

Toowoomba Regional Council is delivering one of the region's most significant infrastructure investments through the Enabling Growth Infrastructure Program (EGIP). This $300 million program includes the delivery of major water projects such as the Southern Water Treatment Plant, Mt Peel Reservoir, and associated water network infrastructure.

We are seeking a highly organised and detail-oriented Project & Document Control Officer to provide project governance, administrative support and document control services that help ensure the successful delivery of these critical projects.

About the Role

As the Project & Document Control Officer, you will be responsible for coordinating project documentation, governance processes and administrative functions across the EGIP program. You will work closely with project teams and senior stakeholders to ensure information is managed accurately, securely and in accordance with Council policies and project governance requirements.

Key Responsibilities

- Manage and maintain project document control systems and file management processes.
- Receive, record, distribute and archive technical documentation, correspondence, drawings, specifications, reports and contractual documents.
- Support project teams to ensure compliance with Council's document management policies and procedures.
- Coordinate project board meetings, prepare agendas, record minutes and manage governance documentation.
- Maintain document version control, security, access and retrieval processes.
- Assist with procurement and contract administration activities.
- Manage access and administration of electronic document management platforms.
- Provide high-level administrative support including reporting, stakeholder coordination, travel and accommodation arrangements, site access and meeting logistics.

About You

You are a proactive and organised professional who thrives in a project setting and enjoys working with structured systems, governance processes and detailed documentation.

Essential Requirements

- Qualifications in Business Administration, Information Management or a related discipline,



or an equivalent combination of qualifications and experience.
- Extensive experience in administration, governance, records management, document control or project support.
- Current Queensland "C" Class Driver's Licence.

You Will Also Have

- Excellent written communication and formatting skills.
- Strong organisational skills and the ability to manage competing priorities and deadlines.
- Experience preparing agendas, recording minutes and producing reports.
- High attention to detail and commitment to accuracy.
- The ability to work independently while supporting a collaborative project team.
- Strong problem-solving skills and sound judgement when applying policies and procedures.
- Experience using document management platforms such as TeamBinder, SharePoint, Microsoft Teams or similar systems.
- Advanced Microsoft Office skills, particularly in Word, Excel, PowerPoint and Outlook.
