Are you an organised and proactive administration professional who enjoys variety, working with different stakeholders and keeping a busy team on track? The City of Kalamunda is seeking an Administration Support Officer – Design and Construction to join our Infrastructure Services team. This is a varied role providing administrative support across the Design and Construction business unit, working closely with the Manager, Coordinators, Project Managers and Officers who deliver the City’s capital works and infrastructure projects.
About the City of Kalamunda The City of Kalamunda is a local authority with a population of 60,000 located approximately a 35-minute drive from the Perth CBD. The City provides the opportunity to work in a diverse environment from rural, natural bushland to highly developed residential, commercial and industrial areas.
About this Opportunity
No two days will necessarily look the same. You will provide day-to-day administrative and project support across the team, helping coordinate meetings and correspondence, maintain project information and records, track actions and deadlines, and support the delivery of the City’s capital works program.
Your responsibilities will include
- Preparing correspondence, reports, meeting agendas and minutes, and coordinating meetings
- Maintaining capital works and design program tracking information, including project schedules, budgets and status updates
- Providing document control, filing and record-keeping support for projects and the business unit
- Assisting with project handovers and maintaining relevant project documentation
- Coordinating project communications, including information to residents about construction activities and impacts
- Supporting grant-funded projects, including progress updates, expenditure reporting and supporting documentation
- Processing and maintaining requisitions, purchase orders, invoices and contractor claims
- Coordinating incoming customer requests and helping ensure actions are followed through
- Responding to customer enquiries and providing information about capital works projects, escalating technical matters where appropriate
- Providing administrative support to the Manager and Coordinators and relief Executive Assistant support to the Director Infrastructure Services when required.
About You You are a highly organised and adaptable administration professional who enjoys working in a busy, project-focused environment. You will be comfortable working both independently and collaboratively and bring a proactive, practical approach to supporting the delivery of the City’s design and construction projects.
You have a strong eye for detail, can confidently manage competing priorities and take ownership of keeping tasks, records and deadlines on track. You communicate professionally and build positive working relationships with colleagues, contractors, stakeholders and members of the community.
To be successful in this role, you will bring:
- Ideally, 2–3 years' relevant experience in administration or project support.
- Demonstrated experience providing high-level administrative and project support, including preparing reports, correspondence, meeting documentation and maintaining accurate records.
- High-level Microsoft Office skills and the ability to confidently use corporate and project management systems.
- Experience within an engineering, infrastructure, construction or capital works environment would be highly regarded.
- Experience with procurement, purchase orders, invoices and project tracking systems would be advantageous.

1. Demonstrated high level organisational and administration skills with the ability to handle confidential and sensitive matters appropriately.
2. High-level administrative support, with the ability to produce and format accurate, well-structured business communications such as reports, emails, and procedures.
3. Exceptional interpersonal skills,
and the ability to establish effective working relationships and work collaboratively with internal and external stakeholders.
4. Well-developed communication skills to provide high-quality customer service, both internally and externally, across various communication channels (in person, phone, email).
5. Proven ability to effectively manage time and resources to meet deadlines under competing priorities and ensure delivery of a high level of service to the community.
6. High level of computer skills including software for the MS Office suite.

Hours of Work
This is a full-time, fixed-term position working 75 hours per fortnight until 31 December 2026, with the possibility of extension subject to operational requirements. Versatile work options are available, including a 9-day fortnight or flexitime.
About the Benefits The salary range for this position is $86,049 - $91,470 per annum (depending on qualifications and experience) plus superannuation. Other inclusions are annual increments, annual salary increases, a generous superannuation co-contribution scheme and 22 days annual leave which attracts 17.5% loading. We also offer flexible work arrangements or the option for a rostered day off fortnightly or monthly.
