PFM Sensitive Freight is looking for a highly experienced 3PL Warehouse Operations Coordinator to join our Sydney operation.

This is a key operational role responsible for coordinating the daily flow of work through our warehouse, ensuring inbound and outbound activities are planned, prioritised and completed accurately and on time.

This is not a traditional warehouse floor role.

A significant part of your day will be spent working within our Warehouse Management System (WMS), managing emails, reviewing orders and manifests, responding to customer enquiries, investigating discrepancies and coordinating the warehouse team.

Working closely with and supported by the Warehouse Manager, you will be the link between our customers, systems and warehouse floor, ensuring everyone knows what needs to happen and that the day’s priorities are delivered.

About the Role

Every day in a 3PL warehouse brings different priorities. Orders need to be reviewed and released. Incoming freight needs to be planned. Customer requirements need to be understood. Discrepancies need to be investigated. PICKs and PUTs need to be completed within agreed timeframes.

Your role is to coordinate these activities and keep the operation moving.

You’ll review the day’s workload, identify priorities and potential issues, communicate requirements to the warehouse team and monitor progress throughout the day.

You’ll also work directly with customers to answer enquiries, resolve issues and investigate inventory or operational discrepancies.

While this is predominantly an administration, WMS and coordination role, you need to understand warehouse operations extremely well and be comfortable getting involved on the floor when required.

Key Responsibilities

Daily Warehouse Coordination · Review daily warehouse workload and operational priorities

· Coordinate warehouse staff to ensure PICKs and PUTs are completed accurately and within required timeframes

· Monitor outstanding work throughout the day and follow up on incomplete activities

· Prioritise urgent orders and customer requirements

· Coordinate inbound and outbound warehouse activities

· Review incoming freight manifests and plan receiving requirements

· Identify potential workload, inventory or operational issues before they impact customers

· Escalate operational issues to the Warehouse Manager when required

· Work closely with the Warehouse Manager to ensure daily operational targets are achieved

WMS & Administration





· Process and manage warehouse transactions within the WMS

· Review customer orders and ensure they are ready for warehouse processing

· Monitor PICKs, PUTs, stock movements and outstanding transactions

· Investigate inventory discrepancies and transaction errors

· Review manifests, paperwork and supporting documentation

· Maintain accurate warehouse and inventory records

· Manage a high volume of operational emails

· Ensure customer and operational instructions are accurately communicated to the warehouse team

· Follow through on outstanding actions until they are resolved

Customer Service & Investigations

· Respond to customer enquiries regarding orders, inventory and warehouse activities

· Investigate customer queries and complaints

· Research stock discrepancies, missing freight and operational issues

· Review WMS transaction history and warehouse documentation as part of investigations

· Work with warehouse staff to establish what has occurred and determine the appropriate resolution

· Communicate clearly and professionally with customers throughout the investigation process

· Ensure issues are followed through to completion rather than simply passed on

Warehouse Operations

Although this role is heavily administration and systems based, you will also:

· Maintain a strong understanding of what is happening on the warehouse floor

· Communicate directly with warehouse staff regarding priorities and customer requirements

· Assist with stock checks and physical investigations when required

· Support receiving, picking, put-away and dispatch activities during peak periods

· Operate a forklift when required

· Help maintain a safe, organised and efficient warehouse environment

What We’re Looking For

This role requires someone who already understands warehouse operations extremely well. We’re not looking for someone learning warehousing from the beginning. We’re looking for an experienced warehouse professional who understands how freight,



inventory and warehouse transactions flow through a busy operation and is ready to take greater responsibility for coordinating that activity.

Ideally, you’ll have:

· Significant experience in warehousing, logistics or supply chain operations

· 3PL warehouse experience highly regarded

· Strong experience using a Warehouse Management System (WMS)

· Excellent computer and administration skills

· Experience coordinating daily warehouse workloads

· Strong understanding of receiving, put-away, inventory, picking and dispatch processes

· Experience investigating inventory discrepancies and operational issues

· Confidence dealing directly with customers by email and phone

· Robust written communication skills

· Excellent attention to detail

· Ability to manage multiple priorities and competing deadlines

· Strong problem-solving and investigation skills

· Ability to communicate effectively with both warehouse staff and customers

· A proactive approach—you identify what needs to be done rather than waiting to be told

· Current forklift licence

The Person We’re Looking For

The right person will be someone who can sit down at the start of the day, review the orders, emails, manifests, outstanding transactions and customer requirements, and quickly understand what needs to happen. You’ll then be able to communicate those priorities to the warehouse team, monitor progress and make sure the work gets completed.

When something doesn’t look right, you won’t simply pass the problem on. You’ll investigate the WMS, check the paperwork, speak with the warehouse team and work through the issue until you understand what has happened.

You need to be equally comfortable working at a computer, communicating with a customer and walking onto the warehouse floor to investigate an issue.
