The Opportunity
Sitting at the heart of practice operations, this pivotal leadership role ensures the administration function runs smoothly, efficiently, and in line with best-practice standards. Reporting to the Chief Operations Officer and sitting within the practice’s Management Team, you’ll lead the Administration Team while acting as a central point of coordination between clinical, scientific, and corporate departments. If you’re a hands-on operational leader who thrives on variety, enjoys building strong cross-functional relationships, and takes genuine pride in creating a well-run, patient-focused environment, this role is built for you.
Key Responsibilities
- Lead from the front, supervising and supporting the Administration Team across rostering, workload allocation, and performance management
- Be the glue that holds daily operations together, coordinating across nursing, scientific, medical, and corporate functions to keep the practice running smoothly
- Get hands-on with payroll support, financial reconciliations, invoicing, and billing coordination alongside the finance team
- Champion smarter ways of working, overseeing administration systems and driving the rollout of new software and process improvements
- Own the people side of admin, managing onboarding, leave, and recruitment coordination for your team
- Keep facilities running like clockwork, coordinating maintenance and liaising with contractors and service providers across both sites Take the lead on insurance renewals, documentation, and claims coordination
- Be the first point of contact for patient and stakeholder feedback, managing complaints in line with practice policy
- Support compliance,
quality, and governance initiatives, including audits and documentation standards Keep meetings on track, attending leadership meetings, taking minutes, and following through on action items
- Build genuine relationships across every corner of the business, from internal teams to external stakeholders

About You
- Proven experience in a practice management, operations, or administration leadership role, ideally within healthcare or a clinical setting
- A natural leader who knows how to motivate, coach, and bring out the best in a team Highly organised, with the ability to juggle competing priorities across multiple locations without missing a beat
- A confident, clear, and professional communicator who’s comfortable engaging stakeholders at every level
- A sharp problem-solver with an operational mindset and an eye for practical solutions Experience supporting payroll, finance, or HR processes highly regarded
- Trusted with discretion, integrity, and professionalism when handling sensitive and confidential information
- Team-oriented by nature, with a genuine commitment to quality patient care
