The City of Stonnington is a child safe organisation, and this role plays an important part in upholding our commitment to the safety, wellbeing, participation and empowerment of children and young people. As our Early Years Administration Assistant, you will provide high-quality administrative support across our Early Years services while actively contributing to a culture where child safety is embedded in everyday practice, decision-making and communication.

You will be the first point of contact for families, carers and community members, and will provide accurate, inclusive and child-focused information about enrolments, orientation, Child Care Subsidy, funded kindergarten and service processes.

Working closely with Centre Team Leaders, and Educators, you will help ensure our services are welcoming, culturally safe, inclusive and consistently aligned with the Victorian Child Protected Standards, the National Quality Framework, Council policies and all relevant legislative requirements on child safety.

This position will work both across Princes Close and Winter Street centres.

Key Responsibilities

- Actively promote and uphold the City of Stonnington’s commitment to being a child safe organisation in all interactions, systems, records and administrative practices.
- Maintain accurate enrolment records that support children’s safety, wellbeing and inclusion, including emergency contacts, authorised nominees, medical information, custody or access arrangements, permissions and other child safety-related documentation.
- Maintain information within the Child Care Management System (CCMS) and other approved systems with a strong focus on confidentiality, accuracy, privacy and safeguarding obligations.
- Prepare and maintain administrative records, documentation and correspondence that are clear, secure and compliant with organisational child safety, privacy and legislative requirements.
- Provide administrative support to the Centre Team Leader, Educators and Early Years leadership to help deliver child safe, inclusive and high-quality services for children and families.
- Support safe and informed family engagement by providing accurate information regarding enrolments, orientation, Child Care Subsidy, funded kindergarten, service processes and child safety expectations.
- Build respectful, culturally responsive and inclusive relationships with families that promote trust, participation and positive engagement in children’s learning, safety and wellbeing.
- Respond to enquiries via phone, email and face-to-face interactions in a professional and child-focused manner, escalating complex matters,



complaints or any child safety concerns to the appropriate leader without delay.
- Demonstrate culturally safe, inclusive and anti-bias practices that support the safety, wellbeing and participation of all children, including Aboriginal children, children from culturally and linguistically diverse backgrounds, children with disability and children who may be vulnerable.
- Work in accordance with the Education and Care Services National Law and Regulations, National Quality Framework, Victorian Child Safe Standards, funding requirements, Council policies and all relevant legislation.
- Maintain professional boundaries, confidentiality and secure information management practices to protect children’s safety, privacy and wellbeing.
- Recognise, respond to and report concerns relating to children’s safety, wellbeing or protection in accordance with organisational policies, reporting procedures and legislative requirements.
- Process family accounts, fee statements, Child Care Subsidy transactions and other financial administration accurately, confidentially and within required timeframes.
- Assist with monitoring outstanding accounts, completing banking, reconciliations, routine financial administration and preparing reports in accordance with Council procedures.
- Assist with Commonwealth and State reporting requirements as directed, ensuring records are accurate, timely and handled securely.

Join us in this casual role, offering a competitive salary range of $39.87 - $42.13, plus 25% casual loading, plus 12% superannuation.

Desired Skills And Experience

What you’ll need to succeed:

- A strong commitment to child safety, child wellbeing and child participation, with the ability to actively uphold the City of Stonnington’s child safe policies, procedures and expectations in an Early Years environment.
- Satisfactory completion of a Certificate III in Early Childhood Education and Care, a Diploma of Early Childhood Education and Care, or a Bachelor of Early Childhood Education
- A qualification in Business Administration, Office Administration, or a related field is desirable but not essential
- Working knowledge of, or the ability to quickly apply, the Victorian Child Safe Standards, Education and Care Services National Law Act 2010, Education and Care Services National Regulations 2011, National Quality Framework and Kindergarten Funding requirements.
- Demonstrated ability to recognise, respond to and escalate child safety,



wellbeing or protection concerns appropriately, while maintaining professional boundaries, confidentiality and accurate records.
- Demonstrated ability to communicate with families, carers, children, colleagues and community members in a respectful, inclusive and child-focused manner.
- Demonstrated understanding of culturally safe and inclusive practice, including a commitment to the safety and participation of Aboriginal children, children from culturally and linguistically diverse backgrounds, children with disability and children who may be vulnerable.
- Demonstrated experience in Early Years administration, including enrolment processes, Child Care Management Systems and the delivery of high-quality, family-centred customer service.
- Demonstrated ability to use Microsoft Office applications and administrative software to maintain accurate, secure records and prepare documentation.
- Ability to manage time, set priorities and organise tasks to meet objectives efficiently while supporting safe, compliant and responsive service delivery.

Employment checks and licenses

- Current Working with Children Check (Employee) or Victorian Institute of Teaching (VIT) registration.
- This role requires the completion of a pre-employment medical assessment.
