Ecommerce Fulfilment Coordinator

We are currently seeking a highly organised and detail-focused Ecommerce Fulfilment Coordinator to join our Ecommerce team at our Newstead Head Office.

Working across the fulfilment of online orders for Wallace Bishop, Hardy Brothers and third-party marketplace channels, you will play an important role in ensuring our customers receive the same exceptional experience online that they expect from our stores.
This is a full-time, Monday–Friday position, offering a great opportunity for someone looking to move away from a traditional retail roster while continuing their career within the jewellery and retail industry.
The Role
As our Ecommerce Fulfilment Coordinator, you will be responsible for coordinating the accurate and efficient processing, packing and dispatch of online customer orders.
Key responsibilities include
- Reviewing and accurately processing online orders
- Confirming customer,
payment and product details prior to fulfilment
- Picking and securely packing orders ready for dispatch
- Preparing shipping documentation and ensuring accurate labelling
- Monitoring inventory and identifying stock discrepancies
- Ensuring orders are fulfilled accurately and within required timeframes
- Providing order, tracking and delay updates to the Ecommerce Customer Service team
- Assisting with the resolution of fulfilment issues, including missing items and shipping concerns
- Processing returns and exchanges in accordance with company procedures
- Working closely with Ecommerce, Finance, Stock Office, Logistics and Warehouse teams
- Maintaining a clean, organised and productive fulfilment area
- Identifying opportunities to improve fulfilment processes and the overall customer experience
The role has a strong focus on accuracy and timely processing, with the position responsible for helping achieve order accuracy and processing in-stock orders within 24–48 hours.
About You
We're looking for someone who is process-driven, detail-oriented and takes pride in getting things right the first time. To succeed in this role, you should possess:

- Confidence working independently and taking ownership of your workload
- A friendly, respectful and collaborative approach when working with others
- Strong written and verbal communication skills
- A practical, solutions-focused approach to problem solving
- Strong customer service skills and an understanding of the importance of the customer experience
- Proficiency in Microsoft Excel and Word
Previous experience in ecommerce fulfilment, logistics or customer service is highly regarded. Experience with inventory systems, eParcel, Pronto or Shopify, or previous experience within jewellery retail, would also be advantageous.
