Key Responsibilities
- Provide administrative and secretarial support to the Directors.
- Prioritise and ensure that reports, business papers and correspondence are dealt with efficiently and promptly.
- Maintain Director’s diary and organise travel and other related arrangements.
- Filing, preparation, collation and distribution of supportive documentation, notes and correspondence.
- Advise the Directors of matters requiring personal attention, with associated deadlines, and preparing relevant documentation.
- Deal with matters requiring attention, or refer them to the appropriate person in the absence of the Director.
- Take notes or minutes of various Board, Executive Management, stakeholders and other meetings when required.
- Check agenda and supportive documents and notes.
- Check details in all paperwork working with others as necessary.
- Identify and take any follow up action arising from the notes that are required.
- Assist in the maintenance of documentation of the office policy and procedures manual.
- Provides administrative support to other senior staff members as required.
- Carry out special projects as allocated by Directors.
- Review administrative operating practices and implement improvements where necessary.
- Train, mentor and supervise other support staff.
HSEQ Responsibilites:
- Accurate and timely reporting of incidents and hazards through the designated HSEQ system
- Engagement in continuous improvement practices to support the ongoing development of the business
- Respond to actions and tasks raised to resolve and support HSEQ items
- Participate in HSEQ meetings and training sessions as required
- Always work in a safe and responsible manner
Selection Criteria:
Competencies
- Proficiency in the use of Microsoft Office products, in particular Word, Excel, PowerPoint and Outlook, with accurate word processing and data entry skills.
- Excellent knowledge of administrative systems and procedures, and proficiency with office technology.
- Highly developed written communications skills and excellent attention to detail.
- Effective verbal communication and interpersonal skills, with the ability to liaise with people at senior executive positions
- Ability to prioritise, organise and complete work within established deadlines, and to maintain a consistent level of professionalism.
- An ability to work unsupervised.
- Strong client focus and genuine desire to assist team members.
- A proactive approach to resolving queries and problems.
- A can-do attitude, flexible and mature approach to work tasks, and a willingness to learn.
- Sensitivity to confidential matters
