The Role The Administration Officer APS 4 is responsible for delivering day-to-day administrative support within 109 Signal Squadron (109 Sig Sqn), contributing to the Squadron's role in providing communications support to Defence elements across Western Australia as part of the 8th Signal Regiment's national support to the 2nd Division's domestic operational requirements.

As the Administration Officer, you will work within a small and collaborative team while engaging with peers across the 8th Signal Regiment and other Defence organisations nationwide. The role supports the effective administration, coordination, and delivery of personnel and business support functions, ensuring the Squadron can successfully meet its operational and training commitments.

The Administration Officer APS 4 is accountable for the timely management and distribution of information through Defence systems, including Objective, Outlook and Mercury. You will provide administrative support to Squadron personnel, assist with stakeholder enquiries, and contribute to maintaining effective business processes and governance across the unit. Guidance and support will be provided to enable your success in the role.

Duties may include, but are not limited to:

- Perform routine administrative and business support activities that contribute to the effective functioning of 109 Signal Squadron.
- Respond to administrative, personnel and business support enquiries and maintain accurate records and files in accordance with Defence policies, procedures and regulations.
- Manage the flow of information and correspondence through Defence information management systems, including Objective, Outlook and Mercury.
- Build and maintain productive working relationships with Squadron personnel, stakeholders and administrative staff across Defence.
- Work within Defence human resource systems to retrieve and provide information in support of ADF personnel administration.
- Assist with governance activities, including audits, file musters, reports and returns.




- Act as a key point of contact for Squadron personnel, providing timely assistance and support for administrative enquiries during business hours.
- Support the coordination of personnel administration, postings, leave management, training records and other workforce-related processes.
- Listen and respond to stakeholder requirements, adapting to changing priorities and business needs to achieve outcomes under limited direction.
- Contribute to a positive team environment and actively participate in team activities that support the Squadron's mission and objectives.

About our Team The 8th Signal Regiment is a nationally focused regiment that provides communications capabilities in support of the 2nd Division's domestic operational requirements across Australia. As part of this national mission, 109 Signal Squadron delivers communications support to Defence elements within Western Australia, contributing to the Regiment's broader domestic operations effect.

As a member of 109 Signal Squadron, the successful candidate will work within a small, cooperative team while engaging with peers across Australia. The role involves supporting the delivery of a range of administrative tasks and processes, contributing to the effective coordination and execution of Squadron and Regimental activities.

- Knowledge, or the ability to quickly acquire knowledge of the role and functions of the Commission to support business priorities.
- Demonstrated ability to work in productive partnership to optimise performance and achieve business results.
- Ability to work with broad supervision, and to identify priorities to meet competing deadlines.
- Effective written communication skills, including the ability to draft various forms of documents and correspondence, and concisely summarise information.
- Ability to communicate with influence and work collaboratively to resolve complex issues.

Security Clearance:

Applicants must be able to obtain and maintain a security clearance at Negative Vetting Level 1.
