Administration Officer – Accounts & General Administration

Location: Yandina, Sunshine Coast QLD

Employment Type: Part Time – 10-15 Hours

Pay Rate: $34.00 – $36.00 per hour plus superannuation

Industry: Civil Earthmoving

We are seeking an experienced Administration Officer to complete the day-to-day administration, accounts, project documentation, compliance records and general office coordination for a busy civil earthmoving business based in Yandina.

We are a small-medium civil earthmoving company who completes commercial projects in QLD. We have been operating for nearly a decade and pride ourselves on our quality outcomes. You will be joining a hands-on team environment where accuracy, reliability, confidentiality, and a can-do attitude are valued.

About the Role

As an Administration Officer, you will provide practical administration, accounts and operational support across the office, project and field teams. You will assist with document control, invoicing, purchase orders, supplier statements, project records, compliance documentation, staff and subcontractor administration, and general communication across the business.

This role would suit someone with strong administration and accounts experience, excellent attention to detail, and the ability to communicate professionally with clients, suppliers, subcontractors, supervisors and field staff.

Key Responsibilities

Accounts & Compliance Support

- Accounts Payable: Receive and enter supplier bills, match purchase orders and review delivery docket checks.
- Accounts Receivable: Review wet hire tasks, verify hours, create and send invoices, and send client statements.
- Reconciliation: Match and update Xero Bank Statements including expense receipts, payables and receivables.
- Financial Reporting: Update and create compliance reports including AP, AR , fuel tax credits, TPAR.

- Compliance




- Support payroll and HR administration by processing leave forms, licences, training records, onboarding documents and employee information as directed.
- Maintain subcontractor and supplier compliance documentation including insurances, licences, inductions, SWMS, plant documentation and prequalification information.
- Assist with plant, vehicle, equipment, service, registration, fuel card and maintenance records where required.
- Communication: Answer any billing questions and follow up on overdue invoices.

Office Administration

- Communication and Support:
- Answer incoming phone calls, monitor and manage emails and direct enquiries to the appropriate team member.
- Assist with meetings, appointments, inductions, site visits, deliveries and internal coordination requirements.
- Suppliers, Subcontractors and Clients: Maintain databases, insurances, and files as required.

- Maintain Records:
- Prepare, format, scan, save, file and distribute business documents, correspondence, reports, forms and registers.
- Maintain electronic and hard-copy filing systems, templates, forms and document control processes.
- Create, maintain, and research process documentation to ensure standardized processes.
- If required, order and maintain office supplies, stationery, uniforms, PPE and general consumables.

Project & Operations Support

- Assist with project files, job folders, site packs, purchase orders, work orders and project correspondence.
- Support project teams with organising delivery dockets, purchase orders, plant allocation records,



subcontractor records and job notes.
- Enter, check and organise job information relating to labour, plant, materials, suppliers, subcontractors, cartage, disposal and hire charges.
- Coordinate with supervisors, operators, subcontractors, suppliers and clients to gather information required for administration and operational support.
- Assist with job close-out documentation and archiving.

Skills & Experience

Essential

- Minimum 3–5 years’ experience in administration, accounts or project administration, ideally within civil earthmoving, construction or a similar trade-based industry.
- Strong computer skills, including Microsoft Outlook, Word and Excel.
- Experience using Xero or similar accounting software.
- Experience using Aroflo, project management software or willingness to learn.

Desirable

- White Card or willingness to obtain one.
- Business administration, accounting, civil construction, construction management, project administration or WHS-related qualifications.

What We Offer

- Start in 1-2 weeks.
- Approx. 10-15 hours per week over 2-3 days per week.
- Flexible Part Time employment with the opportunity to spread hours across school hours and days (For example 4 hours per day over 3 days).
- Competitive hourly rate of $34.00 – $36.00 plus superannuation.
