Executive Assistants’ provide professional administrative support to Senior Executives (SES) who lead a branch or zone and their business areas to enable them to effectively carry out their duties.
These full-time roles require high levels of professionalism, discretion, tact and diplomacy in dealing with sensitive and/or confidential matters. The roles are typically fast paced with rigid timelines, with some work required outside normal work hours on occasion to meet peak work demands.

Aside from building a close bond with your own branch and SES, you will be supported by our Executive Assistant and Executive Officer networks as you learn about the agency. Executive Assistants work closely with their Senior Executive and are generally expected to work from the same location on a regular basis.
Candidates will be asked to select their preferred work location in the application. You should only choose a location where you are able and willing to physically attend and work.
- Management of Microsoft Outlook calendar including the coordination of meetings and appointments for a SES officer within a Branch or zone, managing conflicts and ensuring your SES has all information and documentation for upcoming meetings.
- Providing administrative support to meetings, committees and working groups as required.
- Correspondence tracking and management: responding to enquiries where appropriate, triaging, collation and follow up of information,
and tracking of activities to ensure deadlines are met.
- Provision of administrative support such as: preparation of emails, briefs, reports, presentations, minutes and other correspondence, records management, asset management, financial management, organising meeting rooms, venues and travel arrangements.
- Actively managing and promoting professional relationships with stakeholders.
Security Clearance level required: Baseline (or the ability to obtain and maintain).
Some roles may require
- A working with Children or Vulnerable Persons Check in the relevant state (or ability to obtain and maintain).
- A current driver's license or ability to travel between workplaces.
In accordance with section 22(6) of the Public Service Act 1999, Services Australia requires applicants to be Australian citizens to be eligible for employment with Services Australia.
An applicant’s suitability for employment with the agency will be assessed through a pre-employment screening process. This process includes but is not limited to a national police history check, referee checks, code of conduct check and an employment history integrity check.
Some positions within Services Australia may be required to work in settings where mandatory vaccinations are required. Staff in such positions will need to demonstrate that they meet the vaccination requirements or have a relevant exemption.
Services Australia’s workforce operates using an agile approach, and all staff should be prepared to redeploy to critical frontline functions as required. Should you need to redeploy as part of the agency’s surge workforce, all learning and development and technical/pastoral support will be provided to you to enable you to undertake that work.
