The Opportunity An exciting opportunity has arisen for a highly organised and service-focused Bookings and Events Coordinator to join our Operations team.
As a key point of contact for internal and external clients, you will coordinate venue bookings and support the successful planning and delivery of meetings, conferences, functions, programs and events at MBS. You will manage bookings from initial enquiry through to event completion, ensuring every detail is accurately documented, commercially sound and delivered to a consistently high standard.
Working closely with clients, corporate partners, operational teams, catering providers, suppliers and contractors, you will coordinate room layouts, catering, audiovisual requirements, accessibility arrangements and other event logistics. You will also prepare event orders, run sheets, floorplans, quotations and booking documentation, while providing responsive onsite support when required.
Key responsibilities will include:
- Managing internal and external bookings from initial enquiry through to confirmation, delivery and post-event follow-up
- Providing clients with information about MBS venues, facilities, catering, accommodation, technology and event services
- Coordinating event logistics, room allocations and operational schedules
- Preparing accurate event orders, run sheets, floorplans, agreements and supporting documentation
- Liaising with facilities, catering, housekeeping, reception, security, audiovisual and technology teams
- Maintaining accurate booking, client, payment and event information within relevant systems
- Processing deposits, invoices, purchase orders, cancellations and other booking-related transactions
- Supporting reporting on venue utilisation, revenue, client feedback and event performance
- Identifying opportunities to increase venue utilisation, event activity and revenue
- Supporting the development of event packages, pricing information, promotional collateral and external marketplace listings
- Providing onsite client support and resolving operational issues calmly and professionally
- Contributing to continuous improvement in booking processes, event procedures and service standards
About You You will be an enthusiastic and adaptable events professional who enjoys creating positive client experiences and coordinating multiple priorities in a busy operational environment.
To succeed in this role, you will bring:
- Relevant experience in event coordination, venue bookings, hospitality, customer service or a similar role
- Demonstrated ability to coordinate multiple bookings and events while managing competing priorities
- Strong administrative and organisational skills, with excellent attention to detail
- Experience preparing event documentation, quotations, schedules, run sheets or operational instructions
- Excellent written and verbal communication skills
- Strong customer service and stakeholder management capabilities
- Confidence working with clients, suppliers and multidisciplinary operational teams
- Proficiency in Microsoft Office and experience using booking, event management or customer relationship management systems
- Sound judgement and the ability to identify and resolve issues calmly and professionally
- The ability to work independently while contributing collaboratively to a broader team
- An understanding of the commercial and operational considerations associated with venue bookings and events
A relevant tertiary qualification and experience within an education, corporate, conference, accommodation or commercially focused venue environment will be highly regarded. Familiarity with invoicing, financial reconciliation, revenue reporting and event compliance requirements would also be advantageous. Some early morning, evening and weekend work may be required to support events. The position also involves moving between event spaces and assisting with room inspections or event set-up when needed.
