Due to significant growth across our school partnerships, we are seeking a School Programs Officer to join our team at Varsity Lakes HQ .

Reporting to the Strategic Partnerships Manager , you’ll help keep our school programs running smoothly across three main areas:

APT Scheduling & Logistics – 40%

Manage tutor schedules, short-notice replacements and program changes.

School Program Operations – 30%

Support program launches, manage administration and use AI to create student profiles and learning resources.

Family & Student Support – 30%

Respond to parent enquiries, absences, make-up sessions and general program updates.

Key Responsibilities

- Manage daily tutor scheduling and replacements
- Communicate with tutors, schools and Program Convenors
- Respond to parent phone and email enquiries
- Manage Typeforms, CRM data and program administration
- Prepare student profiles and curriculum resources using AI
- Coordinate Blue Card and compliance information
- Prepare programs and resources for upcoming school terms

About You

- 5+ years’ experience in administration, operations, scheduling or customer service
- Highly organised and able to manage changing priorities
- Exceptional written and verbal communication skills
- Confident using technology, CRM systems and AI tools




- Comfortable speaking with parents and stakeholders
- Strong problem-solving and relationship-building skills
- Salesforce experience is highly regarded
- Education experience is a bonus, but not essential
- Valid driver’s licence and access to a reliable vehicle
