Delegate Services Coordinator, Events and Registration

At Ozaccom+, we specialise in accommodation, registration, and delegate services for conferences and major events. From online registration portals to room bookings, delegate enquiries, and event organiser support, we help make attending events simple, organised, and seamless.

As we grow, we’re looking for enthusiastic and detail-driven Delegate Services Coordinators to support delegates and event organisers across Australia. This is a fully remote role, working as part of a close-knit team that helps deliver smooth, professional event experiences.

This role has a strong focus on coordinating event registrations, delegate communications, accommodation blocks, online event portals, and accurate event data. You’ll help coordinate the day-to-day delivery of delegate services across a portfolio of conferences and events, working closely with individual attendees, group coordinators, hotels, and event organisers to ensure everything runs smoothly, from the first delegate enquiry through to the final event wrap-up.

You’ll often be supporting several events at different stages, so being able to switch between immediate delegate needs, upcoming deadlines, and longer-term event preparation is important.

What You’ll Do

As a Delegate Services Coordinator, you’ll work across event registrations, accommodation reservations, and delegate support to ensure every attendee has a seamless experience. Your day-to-day may include:

- Assisting delegates with event registrations and accommodation bookings
- Helping attendees register for events and troubleshooting access, booking, or payment-related issues
- Processing registration updates, amendments, cancellations, and delegate changes
- Managing and tracking group registration lists, accommodation requests, rooming lists, and delegate data
- Reviewing and reconciling registration and accommodation data to identify missing or inconsistent information
- Supporting the setup, testing, and maintenance of online event registration portals, with training provided
- Checking registration forms, accommodation pages, confirmation emails, pricing, and event information before launch
- Coordinating with hotels to manage group room blocks, availability, booking updates, rooming lists, and guest details
- Handling email and phone enquiries with professionalism, care, and attention to detail




- Supporting event organisers with delegate queries, reporting, registration updates, and data checks
- Promoting event accommodation through targeted communications and campaigns
- Maintaining accurate records across registration, accommodation, and event systems
- Handling delegate information with care, accuracy, and confidentiality
- Assisting with pre-event preparation, including data checks, reporting, exports, and delegate communications
- Taking ownership of assigned event tasks and following them through to completion
- Resolving routine delegate and event issues independently, and escalating matters when needed
- Supporting busy event periods where deadlines are close and delegate enquiries increase A Typical Day A typical day might involve helping a delegate update their registration, checking a group registration list for accuracy, coordinating a rooming list with a hotel, testing an event portal before launch, responding to attendee enquiries, jumping on a quick team call to resolve a client query, and sending out a reminder campaign encouraging delegates to complete their registration or book their accommodation early.

We’re looking for people across different strengths and backgrounds. Whether your experience is in events, hospitality, reservations, administration, customer service, or data coordination, there’s room to grow.

You’ll thrive in this role if you:

- Have experience in events, registrations, reservations, hospitality, customer service, or administration
- Have strong written and verbal communication skills, with particular confidence communicating clearly and professionally by email
- Are comfortable using digital tools, learning new systems, and troubleshooting straightforward issues
- Can manage competing priorities and stay calm under pressure
- Enjoy working with data, spreadsheets, lists, bookings, and online systems
- Have experience using EventsAir or other event registration platforms, which is a bonus, but not essential as full training is provided
- Have hotel, accommodation, front office, group bookings, or reservations experience, which is also an advantage
- Have a quiet home workspace and reliable internet connection
