About the Role The District Administrator is a newly created role providing vital administrative and customer service support to the organisation's Mackay District Office.
You will be responsible for the efficient and client-focused provision of high-quality customer service, supporting the day-to-day operations of the Mackay office. This role will report to the District Secretary and forms part of the organisation's Membership and Network team.
Key Accountabilities
- Provide a high level of customer service to internal and external clients, including welcoming visitors to the Mackay District Office, determining the nature of their business and directing them appropriately.
- Answer incoming calls professionally and efficiently, determining the purpose of calls and directing them to the appropriate staff member.
- Respond to distressed callers in a professional and empathetic manner, connecting them with appropriate services and staff.
- Undertake general office administration including incoming mail, postage, monitoring and ordering supplies, photocopying, scanning and filing.
- Assist with the organisation of meetings, including preparing invitations and agendas, printing documents, organising catering, accommodation and travel, and coordinating follow-up actions.
- Assist with the preparation of monthly and quarterly reports, applications and acquittals.
- Maintain directories,
collect data and prepare reimbursement claims, policy and procedure updates, documents and general correspondence.
- Receive and process incoming deliveries.
- Ensure flags and other relevant displays are presentable whilst on display.
- Attend Mackay District activities and events as required.
About You The ideal candidate will have experience delivering exceptional customer service, along with strong written and verbal communication skills.
You will also have
- A current Australian driver's licence.
- Excellent working knowledge and use of Microsoft Word, Excel and Outlook.
- Demonstrated strong interpersonal, oral and written communication skills, with the ability to consult, communicate and problem-solve effectively.
- Practical thinking and the ability to deal with situations in a calm and coordinated manner.
- The ability to work independently as well as collaboratively within a team environment.
- The physical ability to bend, reach above the shoulders and carry a 5–7 kg load.
