ABOUT THE BRANCH The Enterprise Systems and Services Division (ESSD) delivers critical corporate, digital, and shared services that enable the Department of Finance and client agencies to operate effectively.
The division is responsible for the delivery of enterprise systems and business services, including finance, payroll, human resources, ICT platforms, and major transformation initiatives, such as the Department's ERP uplift program.
The First Assistant Secretary (FAS) Executive Assistant is a key position within the division, providing high-level executive assistant support that enables the FAS to effectively lead the division and achieve its objectives.
THE OPPORTUNITY
- Organising seniors’ commitments by managing workflows, meetings, diaries and calendars to ensure priorities and deadlines are met in a dynamic environment.
- Coordinating meetings, invitations, and visit logistics, including the preparation of relevant supporting materials
- Supporting the preparation and quality assurance of briefs, correspondence and ministerial or executive-facing material.
- Coordinating travel arrangements including bookings and expense acquittals
- Developing and maintaining strong working relationships with a range of key internal and external stakeholders to optimise outcomes for Finance and senior leaders
- Ensuring divisional priorities, deadlines and actions are effectively tracked and progressed.
OUR IDEAL CANDIDATE

- Strong interpersonal skills, including the ability to liaise with government representatives at a high level,
and develop and maintain a broad network of relevant contacts
- Strong attention to detail, paired with exceptional organisation and time management skills
- Sound judgment and the ability to manage competing priorities while working productively within a small, team-oriented team
- Lateral thinking and problem-solving skills, with the ability to design and implement workflow improvements
- Adaptability and flexibility to accommodate changing needs of Senior Executives throughout the day
- Previous executive support experience will be highly regarded
ELIGIBILITY INFORMATION
- Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS) unless the Agency Head has agreed otherwise, in writing.
- Successful applicants will be required to undergo the process to obtain and maintain, or continue to hold the required security clearance level for the role as indicated. All Finance staff are required to have a minimum baseline security clearance prior to commencement.
