Position Overview The Facilities Manager is responsible for the operational management, maintenance, compliance, and performance of a privately owned real estate portfolio across Current South Wales. The role oversees completed residential, mixed-use, commercial, and/or industrial assets, ensuring buildings are maintained to a high standard, statutory obligations are met, defects are effectively managed, and relationships with strata managers, contractors, consultants, and tenants are professionally maintained.

The Facilities Manager will act as the owner's representative on all building operations matters, including strata management, defect rectification, capital works, maintenance programs, contractor management, and building compliance.

Key Responsibilities

Facilities and Building Operations

- Manage the day-to-day operation and maintenance of the property portfolio.
- Ensure all assets are maintained in a safe, compliant, and cost-effective manner.
- Conduct regular property inspections and condition assessments.
- Identify maintenance issues and implement corrective actions.
- Develop and maintain preventative maintenance schedules.
- Monitor service standards and building performance.
- Coordinate emergency repairs and after-hours maintenance responses when required.

Strata Management and Owners Corporation Liaison
- Act as the owner's primary representative with strata managers and Owners Corporations.
- Attend strata committee meetings, annual general meetings, and extraordinary general meetings as required.
- Review and provide recommendations on strata budgets, levies, sinking fund forecasts, and expenditure.
- Monitor compliance with by-laws and building management procedures.
- Review meeting minutes and ensure action items affecting the owner are addressed.
- Coordinate owner responses to motions, voting matters, and building improvement proposals.
- Manage relationships with strata managers, building managers, and committee members.

Building Defects Management
- Manage defects liability periods for newly completed developments.
- Maintain comprehensive defect registers and tracking systems.
- Coordinate inspections with consultants, contractors, builders, and owners.
- Monitor defect rectification programs and ensure timely completion.
- Escalate unresolved defects and coordinate expert investigations where necessary.
- Assist with warranty claims and statutory defect matters under NSW legislation.




- Coordinate technical consultants including engineers, building surveyors, waterproofing consultants, and façade specialists.
- Prepare reports and recommendations regarding defect risks and rectification strategies.

Maintenance and Contractor Management
- Procure and manage contractors, consultants, and service providers.
- Obtain and evaluate quotations and tenders.
- Monitor contractor performance, safety compliance, and service delivery.
- Ensure maintenance works are completed within approved budgets and timelines.
- Verify contractor invoices and recommend payment approvals.
- Maintain contractor registers and insurance documentation.
- Implement service agreements and performance management processes.

Compliance and Risk Management
- Ensure compliance with all applicable legislation, codes, and standards.
- Maintain records relating to:
- Essential fire safety measures
- Work Health and Safety requirements
- Building compliance obligations
- Environmental compliance requirements
- Contractor licences and insurances
- Coordinate annual fire safety statements and statutory inspections.
- Manage risk assessments and implement mitigation strategies.
- Investigate incidents and coordinate corrective actions.

Capital Works and Asset Improvement
- Assist in developing capital expenditure plans and asset improvement strategies.
- Coordinate minor refurbishment and upgrade projects.
- Manage project budgets, timelines, consultants, and contractors.
- Monitor project delivery and quality outcomes.
- Provide recommendations to enhance asset value, operational efficiency, and building performance.

Stakeholder Management
- Build and maintain strong relationships with: Property owners, Strata managers, Owners corporations, Building managers, Tenants, Contractors, Consultants, Government authorities
- Respond professionally to stakeholder enquiries and concerns.
- Provide regular reporting on operational performance, risks, and project progress.

Key Performance Indicators (KPIs)




- Timely resolution of maintenance requests.
- Effective management of building defect rectification programs.
- Compliance with all statutory and regulatory requirements.
- Budget performance and cost control.
- Contractor performance and service delivery standards.
- Reduction in reactive maintenance through preventative maintenance programs.
- Positive stakeholder and tenant satisfaction outcomes.
- Successful delivery of capital works projects within budget and timeframe.

Qualifications and Experience

Essential

- Minimum 5 years' experience in facilities management, property operations, or building management.
- Experience managing strata-titled assets in New South Wales.
- Strong understanding of building services, maintenance systems, and construction practices.
- Experience managing post-construction defects and warranty claims.
- Knowledge of NSW building and strata legislation.
- Experience managing contractors and service providers.
- Strong budgeting and financial management skills.
- Current driver's licence.

Desirable

- Qualification in Facilities Management, Property, Building, Engineering, Construction Management, or related discipline.
- Membership of the Facilities Management Association of Australia or equivalent professional body.
- Experience managing residential, commercial, and mixed-use developments.
- Understanding of NSW building compliance and essential services requirements.
- Project management qualifications or experience.

Remuneration Competitive salary package commensurate with experience, including vehicle allowance and performance-based incentives where applicable.
