At Grace Private, we believe every woman deserves to live her best life. Designed by women for women, we are passionate about delivering high quality, personalised care that supports and empowers women at every stage of their health journey.

Our multidisciplinary team works collaboratively to treat the whole woman, providing integrated care across obstetrics, fertility, gynaecology, gynaecology-oncology, general practice and allied health in a boutique, nurturing environment where patients feel safe, supported and understood.

At Grace, we are one team. We support each other, celebrate our successes, and work together toward a meaningful shared purpose.

About the role

We have an opportunity for a full time Medical Receptionist to join our team. This position will work between our two clinics – both located in Southport – working Monday to Friday on a rotational roster (shifts between 7.30am & 6.30pm, total 7.6 hours per day).

This role sits at the heart of the patient experience.

You will be a key point of contact for patients navigating important, and often emotional, moments in their lives, while also managing a high-volume phone system, front desk responsibilities, and complex administrative tasks.

This is a busy, fast-moving role that requires focus, ownership and initiative. It suits someone who enjoys being productive, takes pride in doing their job well, and brings a steady, solutions-focused approach to their day.

On any given day you will:

- Welcome patients and create a calm, professional and supportive environment

- Manage a high-volume phone system and respond to enquiries from patients (our clinics receive approximately 250 patient calls each day, with phone enquiries forming a significant part of the role)
- Coordinate Doctor and provider schedules
- Book patient appointments
- Manage patient records, referrals and data entry
- Support billing, HiCaps processing and reporting
- Complete daily banking and reconciliation
- Open and close the clinic

About you You are someone who is reliable, grounded, and takes ownership of your work. You contribute positively to the team environment and focus on solutions, even on busy or challenging days.

You will likely thrive in this role if you:

- Enjoy working in a high-volume, fast-paced environment
- Take initiative and confidently problem-solve day-to-day challenges
- Stay focused and composed when priorities shift
- Ask questions, seek clarity, and follow things through
- Maintain a qualified, respectful approach with patients and colleagues
- Value being part of a team that supports each other and works collaboratively

We are looking for someone who enjoys patient-facing administration and is interested in building a long-term career within medical reception and healthcare administration.

You will bring

- 2+ years’ experience in a high-volume reception or administration role
- Strong organisational skills and attention to detail
- Confident communication skills across a range of stakeholders
- The ability to work both independently and as part of a team
- Compassion and empathy, particularly in sensitive situations
- Confidence using computer systems and managing multiple tasks

A background in medical administration/reception, knowledge of medical terminology, and experience with Genie will be highly regarded, but is not essential. Why join Grace Private?

Our team stays because of the purpose, the people, and the impact of the work.

At Grace, you will have the opportunity to:

- Work in a collaborative team environment, where relationships matter
- Be part of a busy, varied role that keeps you engaged day to day
- Contribute meaningfully to patient care and the overall experience
- Develop your skills within a specialist women’s health setting

We are committed to building a capable, supportive and thriving team, and are looking for people who will contribute positively to that. How to apply To apply, please provide your CV with a cover letter by clicking on the above apply now button.
