The Administration Assistant will be responsible for supporting the effective day-to-day administration of the DLUX Australia office.
n
The role will coordinate office operations, employee requirements, vendors, travel and logistics, documentation and general administrative activities while working closely with the People & Culture and Corporate Services teams.
n
The successful candidate should be organized, dependable, service-oriented and comfortable taking ownership of administrative matters from initiation through to closure.
n
Key Responsibilities
n
Office Administration
n
n
- Supportthe smooth day-to-day operation of the Sydney office.
n
- Maintaina professional, organized and welcoming office environment.
n
- Coordinateoffice supplies, stationery, pantry requirements and other consumables.
n
- Coordinatewith building management and external service providers for office-relatedrequirements.
n
- Monitoroffice maintenance requirements and ensure issues are followed through toclosure.
n
- Assistwith meeting room arrangements and internal/external meetings.
n
- Receiveand coordinate deliveries, couriers and business correspondence.
n
- Maintainappropriate administrative records, files and trackers.
n
n
Employee & People Support
n
n
- Provideadministrative support for employee onboarding and offboarding activities.
n
- Coordinateworkplace access, keys, equipment and other joining requirements.
n
- AssistPeople & Culture with maintaining employee documentation and administrative records.
n
- Supportnew employees and employees travelling or relocating to Australia withpractical office and administrative requirements.
n
- Assistin coordinating employee engagement activities, meetings and companyevents.
n
- Handleemployee information and company records with appropriate confidentiality.
n
n
Travel & Logistics
n
n
- Assistwith business travel arrangements, including flights, accommodation andlocal transportation, where required.
n
- Coordinateaccommodation and logistical requirements for employees travelling toAustralia on business assignments.
n
- Maintaintravel-related records and supporting documentation.
n
- Coordinatewith employees and relevant internal teams to ensure travel arrangementsare completed on time.
n
- Coordinatewith approved vendors and service providers for office-relatedrequirements.
n
- Obtainquotations and supporting information for administrative purchases whererequired.
n
- Assistwith purchase requests and maintain supporting records.
n
- Verifythat invoices are supported by appropriate documentation before forwardingthem for processing.
n
- Followup with vendors regarding service delivery, invoices and outstandingactions.
n
- Maintainvendor contact information and relevant administrative documentation.
n
n
Assets & Facilities Support
n
n
- Assistwith maintaining records of office assets, equipment, keys and accesscards.
n
- Coordinateallocation and return of company assets in collaboration with IT andPeople & Culture.
n
- Assistwith periodic physical verification of office assets.
n
- Reportfacilities, safety, security or maintenance concerns promptly andcoordinate corrective action.
n

Documentation & Compliance Support
n
n
- Maintainorganized electronic and physical administrative records.
n
- Assistwith documentation required for internal audits, certifications, insuranceand other compliance activities.
n
- Supportrecord keeping in accordance with company policies and applicablerequirements.
n
- Ensuresensitive company and employee information is handled securely andconfidentially.

General Business Support
n

- Provideadministrative support to management and other teams as reasonablyrequired.
n
- Assistwith scheduling meetings, preparing documents and coordinating businessactivities.

- Trackassigned actions and follow up with relevant stakeholders for timelyclosure.

- Identifyadministrative inefficiencies and suggest practical improvements toprocesses.

Qualifications & Experience
n
n
- Diploma,Bachelor's degree or equivalent qualification in Business Administration,Management or a related discipline is desirable.
n
- Approximately 1–3 years of experience in office administration, coordination,business support or a similar role.
n
- Experienceworking in a skilled services, consulting or technology environmentwould be advantageous.
n
- Familiaritywith Australian workplace practices and office administration would bebeneficial.
n
- Strongorganizational and time-management skills.
n
- Goodwritten and verbal communication skills.
n
- Strongattention to detail and accuracy.
n
- Abilityto manage multiple activities and priorities simultaneously.
n
- Goodworking knowledge of Microsoft Office or similar business productivitytools.
n
- Abilityto maintain accurate records and documentation.
