About the role The Office Manager / Executive Assistant is a trusted partner to the CEO, providing proactive executive, administrative and operational support to enable the effective delivery of the Northern Territory Cattlemen's Association's (NTCA) priorities. The role anticipates requirements, manages competing priorities, prepares high-quality correspondence and documents, and ensures commitments and follow-up actions are progressed without prompting. The position also oversees the day-to-day administration of the office and supports NTCA governance, membership, events, publications, travel and financial administration.
Key responsibilities
- Proactively manage the CEO's diary, inbox, priorities, appointments and follow-up actions
- Anticipate requirements and ensure the CEO is well prepared for meetings, travel and other commitments
- Coordinate domestic and international travel, accommodation and itineraries, and proactively manage changes
- Draft and prepare professional correspondence, briefings, reports, minutes, presentations and other executive documents
- Coordinate Executive, Board and regional meetings, including agendas, papers, logistics, minutes and action registers
- Maintain accurate governance, compliance and organisational records, and monitor agreed actions through to completion
- Oversee office systems, records and day-to-day administration to support an effective and professional workplace
- Manage member and stakeholder enquiries and communications professionally, promptly and discreetly
- Support the planning and delivery of the NTCA Annual General Meeting, Annual Conference and other events
- Support bookkeeping, invoicing, reconciliations and financial reporting in accordance with approved procedures
About you
- At least two years' experience providing high-level support to a CEO, senior executive or Board, with demonstrated responsibility for office operations
- Proven ability to anticipate requirements, identify priorities, work independently and progress actions through to completion without prompting
- Excellent written and verbal communication skills, including the ability to draft polished correspondence, briefings, reports and meeting documents
- Exceptional diary, time management and organisational skills, with the ability to manage competing priorities, changing demands and tight deadlines
- Sound judgement, discretion and professionalism when handling sensitive information, stakeholders and executive matters
- Ability to build trusted relationships and communicate effectively with members, government, industry representatives and other stakeholders
- Advanced Microsoft Office skills and experience with MYOB or similar accounting software, records management and administrative systems
- Current Northern Territory driver's licence and capacity to work outside ordinary hours or travel overnight when required
