About the Role
We are seeking an experienced Office Manager to join a growing specialist medical practice in Melbourne.
This is a hands-on role responsible for overseeing the day-to-day administration and smooth operation of the practice. Working closely with the medical practitioner, the Office Manager will coordinate office services, manage administrative processes, maintain financial and patient records, and ensure the practice operates efficiently and professionally.
Key Responsibilities
- Oversee the day-to-day operations and administration of the office, ensuring an efficient and professional service.
- Contribute to the planning, review and improvement of office services and processes.
- Manage the medical practitioner’s calendar, appointments, consultations, meetings and other professional commitments.
- Coordinate patient bookings and enquiries, providing qualified and timely communication.
- Liaise with hospitals, medical specialists, healthcare providers, insurers and other third parties to coordinate appointments, procedures and administrative requirements.
- Maintain accurate and confidential patient, office, financial and business records.
- Manage invoicing, billing, payments and account reconciliations.
- Actively engage with local GP practices and the public at large to help grow and maintain a steady referral base.
- Prepare and process correspondence, reports, invoices, referrals and other documentation as required.
- Oversee office supplies, purchasing, filing and document management systems.
- Assist with personnel administration and other operational requirements,
where applicable, including operating theatre bookings and inpatient admissions.
- Ensure office operations comply with relevant legislation, workplace requirements, policies and procedures, including privacy and confidentiality obligations.
About You To be successful in this role, you will have:
- Previous experience as an Office Manager, Practice Manager or Senior Administrator.
- Experience managing day-to-day office operations and administrative services.
- Strong organisational skills, with the ability to prioritise and manage multiple responsibilities independently.
- Excellent written and verbal communication skills.
- Demonstrated experience dealing professionally with patients, healthcare professionals and external stakeholders.
- Strong attention to detail and accuracy in record-keeping and administration.
- Experience with invoicing, accounts administration and reconciliation.
- Strong computer literacy and confidence using Google Workspace and other office systems.
- Previous experience with medical practice management software, in particular Gentu or Genie.
- A warm, professional and approachable manner.
Qualifications & Experience A relevant qualification or professional experience in business administration, office management, health administration, or a related field. Pay: $79,000.00 – $81,000.00 per year
