Position Summary
The Associate, Wealth Management role is a client-facing advisory support role supporting Advisors by coordinating advice processes, preparing proposal, review and pitch documentation, managing portfolio transactions and supporting a high-quality client experience.
This role is located in Syndey, New South Wales, Australia.
Primary Responsibilities
Advisor and Client Support
- Provide day-to-day support to Advisors to help deliver a consistent and responsive client experience.
- Assistwith client meeting preparation, including review packs, pitch documents, portfolioinformationand follow-up actions.
- Respond to client and advisor queries relating to portfolios, reports,transactionsand administration within role scope, escalating whererequired.
- Develop trusted working relationships with clients,Advisorsand internal teams through clear,timelyand professional communication.
Advice Process and Documentation
- Manage and track the advice process, ensuring file notes and records are complete,accurateand up to date in Fin365.
- Prepare and review proposal documents, review documents and supporting materials for Advisor review and client meetings.
- Collate relevant client information, portfoliodataand supporting documentation toassistAdvisors with recommendations and reviews.
- Maintainhigh standardsof recordkeeping,documentation quality and follow-through on advice-related actions.
Portfolio Administration, Trades and Settlements
- Manage or support portfolio transactions, including asset transfers, trades,settlementsand related follow-up actions.
- Work with the Middle Office team to engage their support on repeatable operational tasks such as account opening and clientonboarding.
- Monitor outstanding tasks, deadlines and dependencies to ensure portfolio and client actions are progressed efficiently.
- Maintainaccurateclient and portfolio data across relevant systems.
Investment and Market Support
- Prepare portfolio reporting,analysisand supporting information for Advisor review.
- Contribute ideas and observations from client work, marketdiscussionsand internal meetings.
Client Relationships and Communication
- Maintain client trust through consistent,reliableand qualified engagement.
- Communicate clearly with clients in a way that is practical,respectfuland easy to understand.
- Anticipate client needs where possible and deliver within role scope, referring to Advisors or other specialists whenadditionalexpertise is required.
- Support positive client outcomes while prioritising the interests of clients and the firm over individual or team preferences.
Compliance, Risk and Professional Standards
- Understand andoperatewithin Escala’s compliance framework, internalpoliciesand Code of Conduct.
- Escalate potential compliance, operational or client issues promptly to the relevant Advisor, Manager or Compliance team.
- Complete required mandatory training and CPD obligations relevant to the role.
- Maintainaccurate documentation and support a strong risk and quality culture.
Growth, Business Development and Continuous Improvement
- Build capability in business development by recognising when client opportunities may be present and raising them with Advisors.
- Support prospecting activity through preparation,follow-upand attendance whereappropriate.
- Participate in networking, learning and development activities aligned to the Advisory Growth Track.
- Identifyprocess improvements, serviceopportunitiesand knowledge gaps, andparticipateconstructively in change initiatives.
- Assist in coordination of client functions and marketing events
Collaboration and Team Contribution
- Work cooperatively with Advisors, Client Relationship teams, Compliance,Operationsand Investment teams across locations.
- Share information openly, support team priorities and contribute to a positive, high-performing and collaborative culture.
- Demonstrate behaviour aligned to Escala values and the One Escala ethos.
Qualifications
- Experience in wealth management, financial advice, investment, clientserviceor advisory support, ideally within a HNW or UHNW client environment.
- Demonstrated experience supporting Advisors or client teams with client servicing, portfolio administration, reviewpreparationor advice-related processes.
- Sound understanding of client account structures, portfolio transactions, investmentadministrationand client reporting.
- Experience using financial advice, CRM,portfolioor trading systems such as Fin365, Xplan, IRESS orTradeCentreis desirable.
