We are seeking a highly organised and reliable Scheduling & Administration Officer to join our team in West Perth. This is an excellent opportunity for an experienced administrator who enjoys coordinating appointments, supporting a busy clinical service and contributing to meaningful community health outcomes.
About the Role
Reporting to the Health Services Manager, you will play a key role in ensuring patients are booked efficiently and receive timely access to respiratory health services. You will be responsible for appointment scheduling, referral processing, data entry and general office administration.
Key responsibilities include
- Processing patient referrals and scheduling appointments
- Maintaining accurate patient records and booking information
- Contacting patients to confirm, reschedule or follow up appointments
- Managing waitlists and identifying scheduling issues
- Communicating booking changes to patients and clinical staff
- Providing general administrative support to the Leadership Team
- Data entry, filing, correspondence and mailbox management
- Supporting the smooth day-to-day operation of the office
About You You are a detail-oriented administrator with excellent organisational skills and a proactive approach to your work. You enjoy working independently while also supporting a collaborative team environment.
Essential Requirements
- Strong organisational and time-management skills
- Excellent attention to detail and data accuracy
- High-level written and verbal communication skills
- Ability to manage competing priorities and meet deadlines
- Strong computer skills, including Microsoft Outlook, Word and Excel
- Experience using scheduling, booking or practice management software
- Ability to work reliably within set part-time hours and contribute as part of a team
- Must have the right to work in Australia.
Desirable
- Experience with Best Practice software or similar patient management systems
- Previous experience in healthcare, community services or a not-for-profit environment
- Understanding of privacy and confidentiality requirements
- Current National Police Clearance or willingness to obtain one
