The Community Services Group (CSG) is seeking an experienced and motivated individual to join the Group's executive support team. The position will report to the Group's Executive Officer and work closely with other members of the group executive office to provide support to the Group Executive and the Group's Executive leadership team.
The Senior Executive Support Officer provides high-level executive support, governance coordination and performance reporting services for the Group. The role is responsible for managing complex workflows, coordinating executive and ministerial business, driving quality assurance processes and providing strategic advice to managers and senior executives.
Operating with a high degree of independence, the position builds productive relationships across the Group, ensures timely delivery of key priorities, and identifies opportunities to improve business processes and governance outcomes. The role may also be responsible for supervising and developing junior staff and coordinating the work of others to achieve business objectives.
Role responsibilities
The Senior Executive Support Officer will generally be required to undertake work that is complex in nature and work under limited direction and proactively work with the Executive Officer
Executive Governance and Coordination
- Support the coordination and completion of all artifacts and documentation required by the Bureau’s governance and processes on behalf of the Group.
- Manage governance schedules, priorities and deadlines to ensure the timely progression of papers, submissions and decision-making processes.
- Provide guidance and support to business areas in drafting and developing high-quality governance papers and executive products.
- Undertake quality assurance of submissions and correspondence, ensuring alignment with departmental standards, policy objectives and executive requirements.
- Monitor upcoming contract renewals, commitments and governance obligations, providing timely advice and coordination support to relevant stakeholders.
Writing and Quality Assurance
- Draft, coordinate and quality assure briefing materials, ministerial responses, media products, and other executive correspondence.
- Proactively identify, develop and coordinate agenda items for fortnightly ministers office meeting with subject matter experts across the group.
Performance Reporting
- Support the coordination of Group performance reporting activities and reporting cycles.
- Develop and maintain systems for tracking key performance indicators, deliverables and strategic commitments.
- Maintain an evidence base to support annual reporting, performance assessments and assurance activities.
Stakeholder Engagement and Continuous Improvement
- Build and maintain effective working relationships across the Group and with key internal stakeholders.
- Act as a trusted point of contact on governance, reporting and executive support processes.
- Identify opportunities to streamline business processes, improve reporting practices and strengthen governance arrangements.
- Support the implementation of business improvements and promote consistency across Group coordination activities.
- A degree or diploma in business administration, communications, or other comparable qualifications, which are appropriate to the duties.
- Demonstrated experience in providing administrative support in a complex organisation.
- High level written and oral communication skills, with the ability to translate technical information into clear English serving diverse audiences
- Solid relationship and stakeholder management skills
- High attention to detail in all tasks performed for the Office of the GE
- Continuous improvement mindset including investigating and identifying best practices approaches and offering recommendations to support the Group's activities.
- Experience in working collaboratively in a diverse environment managing good rapport to foster a collaborative knowledge sharing environment.
- Experience in working with limited supervision and managing competing demands and meeting tight deadlines.
- Proven proficiency in MS SharePoint, Word, PowerPoint, Excel, and Adobe.
- Knowledge or ability to understand Australian Government style requirements.
- Experience in Science communication would be a plus.
