About the Role
We are seeking an experienced Senior Coordination Officer to provide high-level coordination and executive support within a complex NSW Government environment.
Working closely with senior leadership, the role will coordinate sensitive requests, executive correspondence, briefings, reporting and stakeholder responses across multiple areas of the organisation. You will be responsible for keeping high-priority matters moving, identifying emerging issues and ensuring senior stakeholders have accurate and timely information to support decisions.
The role will suit someone who is comfortable operating in a fast-paced environment where priorities can change quickly. You will need to bring strong judgement, exceptional organisation and the ability to turn complex information into clear and concise advice.
Position: Senior Coordination Officer
Rate: $70 to $85 per hour + super
Location: Parramatta / Sydney CBD
Working Arrangement: Hybrid
Start Date: ASAP
Duration: Contract to 24 December 2026
Hours: 35 hours per week, 7 hours per day
Key Responsibilities
- Coordinate executive-level requests, correspondence, briefings and submissions across multiple business areas.
- Prepare clear,
concise and well-structured written material for senior executives and other key stakeholders.
- Manage incoming requests and workflow items, monitoring progress and escalating matters where required.
- Coordinate contributions from internal stakeholders to ensure advice and responses are complete, accurate and delivered on time.
- Maintain oversight of competing priorities, deadlines and sensitive matters within a high-volume executive environment.
- Research emerging issues and prepare background information, summaries and recommendations to assist senior decision-making.
- Review and quality-check executive correspondence, reports, briefing materials and supporting documentation.
- Support the coordination of ministerial, executive and business requests in accordance with government standards and established processes.
- Monitor risks, emerging issues and dependencies, ensuring appropriate matters are escalated promptly.
- Establish and maintain effective working relationships with stakeholders across different business units and levels of seniority.
- Assist with meeting coordination, agendas, papers, actions and follow-up activities where required.
- Maintain accurate records and ensure information is managed appropriately in accordance with governance and confidentiality requirements.
- Contribute to process improvement initiatives that improve workflow, responsiveness and quality of executive support.
- Provide general coordination and administrative support to senior leadership during periods of competing or urgent priorities.
- Exercise discretion when handling confidential, commercially sensitive or politically sensitive information.
About You
The successful candidate will be an experienced coordination or executive support skilled who can confidently operate in a complex government or corporate environment.
You will ideally bring:
- Demonstrated experience in executive support, senior coordination, business support, ministerial support, corporate services or a similar role.
- Previous experience supporting senior executives, directors or leadership teams in a complex organisation.
- Strong experience preparing executive briefings, reports, submissions, correspondence and written advice.
- Excellent written and verbal communication skills, with the ability to simplify complex information for senior audiences.
- Strong organisational skills and proven ability to manage competing deadlines without compromising quality.
- Experience coordinating multiple stakeholders and obtaining timely input across different business areas.
- Strong attention to detail and the ability to identify gaps, inconsistencies and potential risks.
- Demonstrated ability to exercise judgement, discretion and confidentiality when managing sensitive information.
- Strong research, analytical and problem-solving capability.
- Experience working within government, public sector, regulated environments or similarly complex organisations will be highly regarded.
- Understanding of government processes, ministerial correspondence, executive governance or departmental procedures will be advantageous.
- Proficiency across Microsoft Office, particularly Outlook, Word, Excel, PowerPoint and Teams.
- Experience working with workflow, records management or document management systems will be advantageous.
- A proactive approach, with the confidence to work independently while collaborating effectively with a broad stakeholder group.
- Ability to adapt quickly to changing priorities and respond professionally in a high-pressure environment.
- Relevant tertiary qualifications in business, public administration, communications, government, management or a related discipline will be viewed favourably.
- Candidates must hold valid working rights in Australia for the duration of the assignment. Sponsorship is not available for this position. Australian citizenship, permanent residency or a long-term Australian working visa is required.
