About the role The Signature Events Coordinator is the operational backbone of the Signature Events Team, ensuring the seamless delivery of SCHF’s high-profile fundraising events. This is a fast-paced, deadline-driven role that demands exceptional multitasking ability, sharp attention to detail, and solid time management across multiple concurrent events and workstreams. The coordinator is responsible for end-to-end event administration, systems management, guest and donor communications, and fundraising operations — providing the critical behind-the-scenes support that allows the broader team to deliver memorable experiences and achieve outstanding fundraising outcomes for the Sydney Children’s Hospitals Foundation (SCHF) and the Sydney Children’s Hospital Network (SCHN).

Job Responsibilities:

Administrative Management

- Serve as the primary systems administrator for the Signature Events Team, maintaining proficiency across Salesforce (CRM and donor records), GalaBid (auctions, prizes, and live appeals), Salesforce Marketing Cloud (EDMs and event communications), and SharePoint (document and asset management).
- Build and deploy event EDMs and communications via Salesforce Marketing Cloud, including invitations, save-the-dates, event reminders, and post-event acknowledgements, ensuring all content is on-brand and delivered on schedule.
- Manage all guestlist and ticketing processes across Signature Events, including invitation allocation, RSVP tracking, seating coordination, and on-the-night registration, to ensure a seamless and professional guest experience.
- Set up and manage event appeals, campaigns, and fundraising activations in GalaBid and Salesforce, including prize procurement coordination,



auction item management, and live appeal configuration.
- Generate and analyse Salesforce reports to support the team’s planning and donor stewardship, ensuring all records are accurate, up to date, and compliant with Foundation requirements.
- Manage stock and in-kind prize fulfilment, maintaining accurate records and responding to stakeholder requests in a timely manner, and ensure all activities comply with SCHF fundraising policies and brand guidelines.

Event Coordination

- Coordinate end-to-end event logistics across multiple concurrent Signature Events, prioritising competing deadlines and proactively managing tasks to keep all workstreams on track.
- Support event committee meetings by preparing agendas, attending sessions, and distributing accurate minutes to ensure all stakeholders are aligned and action items are followed through.
- Manage all event administration including donor and sponsor correspondence, invitations, RSVPs, and post-event thank-you communications, ensuring every touchpoint reflects the professionalism and warmth of the SCHF brand.
- Process and reconcile event donations and receipts in a timely manner, ensuring all record-keeping aligns with SCHF policies, procedures, and audit requirements.
- Maintain a thorough, up-to-date knowledge of SCHF event policies and procedures, and be prepared to attend events outside of standard hours as required to support the team on the ground.

Account & Donor Coordination

- Act as a trusted point of contact for donors, sponsors, and partners, responding to correspondence and information requests confidently, sensitively, and in a timely manner.
- Build strong working relationships with Relationship Managers and Officers, providing administrative support, researching prospective donors, preparing briefing notes, and ensuring donor expectations, commitments, and interactions are accurately managed in Salesforce.
- Welcome and engage new donors, ensuring timely acknowledgement, relevant information, and meaningful opportunities to deepen their connection with SCHF and SCHN.
- Complete fund request documentation and internal processes promptly, ensuring donor engagement opportunities are captured and followed through without delay.
- Identify and promote broader donor engagement opportunities, including corporate volunteering, in-kind gifting, and gift-in-kind partnerships, while cultivating relationships with partners and coordinating procurement and fulfilment for Signature Events.
- Conduct all activities in alignment with SCHF policies and guidelines, maintaining the highest standards of professionalism in all internal and external interactions.

Qualifications and Experience:

- At least 1 years' experience in a similar events, fundraising, or coordination role, demonstrating the ability to manage multiple priorities simultaneously and deliver high-quality outcomes under pressure.
- Tertiary qualifications are required.

Functional and Technical Skills





- Exceptional multitasking and time management skills, with the ability to juggle competing priorities across multiple events and workstreams without compromising quality or accuracy.
- Strong interpersonal skills with the ability to build trust and communicate confidently and sensitively across a diverse range of internal and external stakeholders, including donors, sponsors, and senior leadership.
- A high degree of accuracy and attention to detail, particularly in data entry, donor records, financial processing, and event documentation.
- Excellent written and verbal communication skills, with the ability to produce professional correspondence, event communications, and reports for a range of audiences.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a genuine interest in learning and adopting new systems and platforms to support the team’s work.

Desirable

- Experience with Salesforce CRM and Salesforce Marketing Cloud, including EDM build and deployment
- Familiarity with GalaBid or similar event fundraising and auction software

Our Proposal to You: We are pleased to offer a full-time salary to $89,301 plus superannuation for this position. We believe in recognising and rewarding the valuable contributions of our team members.
