The Opportunity
This is a trusted, highly visible role at the centre of a specialist business. Reporting directly to the General Manager — a civil and structural engineer who has led this business for more than a decade — you will make sure his days run smoothly, his priorities are protected, and the operating rhythm of the business unit holds.
Remedial & Facade runs a high volume of concurrent projects, with a leadership group spanning construction, pre-construction, commercial and estimating. That means a busy, varied desk: diary and travel that changes at short notice, submissions and reporting deadlines that don't move, and a steady flow of clients, strata managers, consulting engineers and industry bodies who need a capable, skilled point of contact.
You will be a proactive, organised and detail-driven professional who anticipates needs before they arise, exercises judgement without needing to be asked, and is comfortable being the person who holds it all together.
Key Responsibilities
Executive Support
- Provide high-level diary management for the General Manager — prioritising requests for access, liaising with clients and Buildcorp employees, and protecting time for the work that matters.
- Arrange internal and external meetings, including breakfasts, luncheons, dinners and client coffees.
- Review emails,
meeting requests and correspondence on behalf of the General Manager, responding and RSVPing professionally and promptly, and handling sensitive matters with discretion.
- Screen and manage incoming calls, redirecting and following up so nothing is dropped.
- Coordinate domestic travel across NSW/ACT, Victoria and Queensland — flights, accommodation, hire cars, transfers and itineraries — for the General Manager and the wider leadership team.
- Prepare briefing packs, agendas and meeting materials, and take and distribute minutes for leadership and operational meetings.
- Manage expense reconciliation, corporate credit cards, invoicing and general administration.
- Maintain contact records and business systems, and establish efficient processes and meeting rhythms for the business unit.
Business Unit Support
- Coordinate the leadership meeting cadence across construction, pre-construction, commercial and estimating, and follow through on actions.
- Prepare and format PowerPoint presentations, reports and board or client materials to a high professional standard.
- Provide administrative support to the wider team — meeting coordination, document formatting, tender and submission support, and reception relief as required.
- Support bid and submission deadlines, working with the estimating and pre-construction teams to keep documents moving and lodgements on time.
- Coordinate industry body engagement and award submissions, including ACRA, working with Group Marketing to bring our project work to a wider audience.
- Support onboarding and mobilisation logistics for new starters into the business unit.
About You
The General Manager will need someone who can ensure his week is well planned, well protected and runs without friction. You will be his delegate and trusted confidante, managing his priorities and anticipating things before they become a problem. To be successful you will need to show:
- Proven experience supporting a senior executive or business leader — ideally a General Manager, Director or equivalent.
- A stable career history. We are looking for someone who has committed real time to their previous roles and built genuine depth in them.
- Experience gained within a Tier 1 or Tier 2 construction, property, engineering or professional services business — an environment where pace, deadlines and senior stakeholders are the norm.
- Exceptional organisational skills and genuine attention to detail.
- Strong judgement and discretion when handling confidential and commercially sensitive information.
- Confidence engaging with senior stakeholders internally and externally, and the composure to hold a line on the General Manager's time when required.
- A proactive mindset — you see what is coming and deal with it before it lands.
- Advanced Microsoft Office skills, particularly Outlook, PowerPoint and Excel.
- Outstanding written and verbal communication and relationship-building skills.
- The ability to manage multiple competing priorities and shifting deadlines without losing accuracy.
