Job Description: St Vincent's is seeking a permanent full-time Executive Assistant.
Based in our Sydney office, this role provides high-level strategic executive support, coordination, and project assistance to both the National Chief Medical Officer and the Chief Executive Officer, Private Hospital Division.
About the Role
Working within a high-performing Executive Assistant team, you will act as a trusted partner to senior leaders across two key portfolios.
By proactively managing priorities, facilitating cross-stakeholder collaboration, and leveraging modern digital tools, you will play a key role in ensuring efficient operations and driving organisational outcomes across One St Vincent's.
Key Responsibilities of the Role
Proactively manage complex executive calendars, meeting schedules, and travel logistics.
Coordinate the end-to-end preparation and quality assurance of executive, Board, and committee papers and briefing materials.
Lead day-to-day office coordination and operations to maintain a welcoming, well-run, and collaborative shared workspace.
Leverage modern digital tools including Microsoft 365, Teams, and AI to continuously improve executive workflows and productivity.
Support the delivery of corporate events, Board meetings, leadership offsites, and internal cultural initiatives.
Handle sensitive, confidential workforce and strategic information with total discretion and sound judgment.
About You

Ideal candidates will have:
Proven experience providing C‐suite or senior executive support within a complex environment.
Exceptional communication skills with precise attention to detail in document preparation and correspondence.
Strong technical proficiency across the Microsoft 365 suite, with an appetite for adopting digital tools and AI efficiency solutions.
Demonstrated experience managing complex travel logistics, meeting schedules, and corporate event administration.
A diploma or TAFE qualification in Business Administration (desirable, but not required).
